The “EU-funded Twinning Project” in Jordan is seeking for a “Project Administration Assistant” - on a full-time base employment as per the below job profile.

Required qualifications, competences and experience

Qualifications

University Degree (Bachelor’s or master’s degree, or comparable qualification)

Professional experience

at least 1-2 years professional experience in a comparable position, experience in office and/or project management;

Other knowledge, additional competences

fluency in Arabic and English languages (both oral and written); knowledge of German language would be an asset;

excellent communication and organizational skills and ability to work very precisely;

previous working experience in EU / international projects or organizations would be an advantage;

very good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office); Familiarity with social media would be an advantage.

ability to establish and maintain effective working relations and to work in a team;

initiative and high flexibility;

flexibility to travel, if necessary, within Jordan and Germany;

a driver’s license for cars would be an advantage;

Certificate of non-criminal record

2 references from a current or previous manager and/or an instructor from university

The applicant may not be (or have been in the past 6 months) a civil servant or agent of the beneficiary administration nor be on leave from the beneficiary to take up the position.

Responsibilities

Under the guidance of the RTA, the administrative assistant is responsible for:

1. assisting the project implementation arrangements

2. supporting the project and office management

Any other relevant tasks requested by the manager

The Project administrative assistant performs the following tasks:

Tasks

Assist in the project implementation arrangements

The project technical assistant

supports the RTA in terms of administrative assistance, office management, correspondence, bookkeeping and accounting, etc.;

organises and coordinates contacts and meetings; attend meetings and draft and disseminate minutes;

supports the RTA in the elaboration of mission programmes and schedules for Short-Term Experts;

drafts other written materials in relation to the project in Arabic and English;

develops and maintains close working contacts and relations with Jordanian officials involved in the Twinning Project, other beneficiary organizations and the Twinning project team;

supports the logistical organization of conferences, training sessions, workshops, meetings, expert missions and study visits of Jordanian and German experts;

photocopies and scans documents as needed;

assists with general project planning and supports coordination of relevant project activities at local level;

assists the RTA in updating activity monitoring table and in systematically updating the mission plan;

assists in translation and interpretation from English into Arabic and vice versa if needed; stand in for the Language Assistant in her/ his absence;

assists the RTA and the Short-Term Experts in logistical matters related to working in a foreign country;

Knowledge management

The project technical assistant

supports knowledge management including archiving of documents and filing, and record keeping

supports the implementation of visibility measures related to the project, e.g. preparing of visibility materials;

supports the development of presentation documents, factsheets and press releases in English and Arabic language

Other duties/additional tasks

The field/data collection assistant

performs other duties and tasks at the request of management

Overview:

We are looking for a “Project Administration Assistant” to the German Resident Twinning Adviser (RTA) of an EU-funded Twinning Project in cooperation with the Jordan Police. The Twinning project is implemented by a German team under the lead of the Bavarian Police. The Project Administration Assistant will support the RTA in supervising the project implementation and coordinate all project activities in Amman, ensure project documentation and will conduct office management tasks. Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) which supports the Twinning Project in all matters related to the project, will be the contracting authority of the RTA Administrative Assistant.

Twinning is a European Union instrument for institutional cooperation between Public Administrations of EU Member States and of partner countries. Twinning projects bring together public sector expertise from EU Member States and partner countries with the aim of achieving concrete mandatory operational results through peer to peer activities and missions.
