GLOBAL FLEET

WFP owns, leases and globally operates more than 1,400 trucks of different configurations, trailers and workshop facilities throughout 28 Country Offices (COs). The WFP fleet is deployed to fill critical gaps in local transport capacity and stabilize transport rates in the event of increased insecurity and/or sudden growth in demand, as well as pioneer new routes that, due to prevailing insecurity, would remain inaccessible to local transporters. The Global Fleet unit operates three fleet hubs in Accra (Ghana), Dubai (UAE) and Kampala (Uganda), and provides a range of fleet services to WFP and non-WFP entities such as spare parts supply, technical trainings, capacity strengthening projects and the managing of a corporate fleet management- and vehicle tracking systems.

KEY ACCOUNTABILITIES (not all-inclusive)

Under the general supervision of the Service Provision Officer, the incumbent will be responsible for carrying out the following tasks:
• Manage the service provision activities by tracking agreements, invoices and the deployment of assets and spare parts, contributing to the effective delivery of Global Fleet services to Country Offices.
• Coordinate the service provision process closely with all stakeholders involved, i.e., Country Offices, UNHRD, Procurement, Finance Officers, etc.
• Issue regular tracking sheets for Global Fleet services, including trucks, spare parts and other fleet related services.
• Conduct regular financial analysis and ensure that internal payment orders are processed accordingly before any service to Country Offices are being rendered.
• Manage the financial invoicing of Country Offices to ensure timely cost recovery, by requesting Finance Officers for the income recognition of payments and providing regular reporting.
• Support the capacity building of WFP staff for efficient and effective usage of the Global Fleet Portal by providing remote or on-site training, according to needs.
• Collate data and contribute to preparation of accurate and timely Service Provision reporting, including Key Performance Indicators (KPIs) that enables informed decision-making and consistency of information.
• Any other task as required by the Service Provision Officer

STANDARD MINIMUM QUALIFICATIONS

Education
• University degree in Business Administration, Transport Economics, or other related fields transport

Experience
• Minimum three years of relevant professional experience in an international organisation
• Proven experience in service provision, funds management and data analysis, preferably with WFP
• Proficiency in MS Office (Excel, Power Point)

Technical Skills and Knowledge
• Good analytical ability to compile, maintain and analyze data
• Excellent communications and organizational skills
• Ability to deal patiently and tactfully with people of different national and cultural backgrounds

Language
• Proficiency in English and French
