Job Title: Liaison and Administrative Officer

Organization:                    

The Johanniter is a German Non-Governmental organization, dedicated to excellence in the field of first aid, ambulance service, social service programs, and other projects in the medical and social field. The Federal Headquarters are based in Berlin, Germany.

Johanniter International Assistance is the department for development co-operation and Emergency aid, implementing and supporting projects worldwide. (www.johanniter.de)

Job Location: Country / Regional Office, Amman

Reporting to: Regional Finance & Admin Manager - Middle East

Working with: Johanniter Regional team

Job Responsibilities:

1. Coordinate with the Jordanian Government on all tasks related to the registrations, approvals, and implementation of the Country and Regional Projects led by JUH.

2. Facilitate the various registrations for the Johanniter Country Office with the Jordanian Government and competent authorities, including the Ministry of Social Development and Ministry of Industry and Trade.

3. Organize the workflow between the Johanniter’s Social Security Corporation and Income Tax department and ensure all laws are abided to.

4. Work closely with the Johanniter CO assigned lawyer to ensure smooth flow of procedures.

5. Keep the Organization continuously updated on the latest developments and changes taking place in governmental departments.

6. Work closely with the Regional Finance & Admin Manager and program team to initiate frequent contact with, and to foster constructive relationships with, the relevant line ministries; including without limitation in relation to the negotiation of projects, reaching agreements, and signing MoUs. Preparing monthly progress reports to be sent to government entities

7. Closely coordinate with the Regional Finance & Admin Manager on submission and follow up on entry visa applications, residence permits, and work permits for national and international staff.

8. Assist staff to plan and obtain approvals for training, workshops, and events according to procedures set by authorities.

9. Facilitates entry visa for Johanniter partners and visitors as may be required from time to time during events, meetings and workshops, or any other function as shall be directed.

10. Maintain a complete, up-to-date, and orderly archive for all sub-agreements, reports, and official communications with authorities, electronically and in hard copy, in accordance with principles of effective document management.

11. Serves as the principal focal point for the provision of advice to the government on all aspects of the JUH programme.

12. Drafting Johanniter official letters in English and Arabic to Government officials and ensure that Arabic/English translation of documents related to Jordanian authorities are factually and grammatically correct.

13. Following up on Government and authorities’ letters.

14. Administrating staff attendance sheets and timesheets.

15. Follow-up the Organization’s registrations and licenses (applications, renewals) with the concerned governmental offices.

16. Drive Johanniter's vehicle as needed for work-related matters as per the supervisor’s directions.

17. Provide oral and written translation when and if required.

18. Other liaising, administrative, and government-related logistic tasks within the office when necessary and required.

19. Any other task assigned by the Line Manager or any designated staff of JUH.

Qualifications & Preferred Skills:

Minimum a Bachelor’s degree in law, public administration, political science, or in a related field of work.

Knowledge of Jordanian legislation and policies related to INGO work in the country

Knowledge of governance and administrative structures within the Hashemite Kingdom of Jordan, experience from working inside a governmental structure considered an asset.

Experience in humanitarian work is considered an asset.

Excellent communication skills and diplomatic approach

Ability to operate and work independently

Detailed oriented and strong organizational skills

Excellent command of both written and spoken English and Arabic is required.

Good computer skills in Ms word, excel, PowerPoint..etc.

To be successful in this role we expect you to have a minimum of 5 years of experience, preferably in a government or government liaison role. Previous experience in a similar role in an INGO is an added advantage.
