Role Purpose
To support the exams team in Jordan to deploy the right mix and profile of Examiners, Venue Supervisors and Venue Staff for Test Day delivery using British Council systems and in line with recruitment policies. Follow up on performance monitoring and evaluation and sustain a pool of Test Venue Staff that is capcbale to support exams delivery. This role will also support optimising operations while maintaining service levels, maximising agility and ensuring contingency. In addition, this role will be supporting the exams team in tackling procurement activities needed to run the exams sessions including creating purchase requests and orders, creating vendors and processing payments as per British Council financial policy.
The job sits in the Examinations Services team in Jordan which consists of 15 staff members. This role reports to the Planning and Resources Manager who covers Levant and Maghreb Cluster, yet this role will be supporting Jordan specifically in resources planning. He/she should be working very closely with the whole exam team to ensure an efficient implementation of the British Council exams in Jordan. Excellent customer and client service and effective and secure exams delivery are essential to continued growth of the business.
Main Accountabilities
Service delivery
- Maintain up to date database and documentation of all venue staff (contact details, training, performance)
- Support effective implementation of Back Office Scheduling System & Clock in Clock out across all exams products
- Organise and conduct venue staff performance management activities (spot checks, follow-ups)
- Check and process claims for payment in a timely manner and in accordance with internal processes and measures
- Apply IELTS examiner quality and compliance standards through the Professional Support Network
- Ensure venue staff management activities are consistent with key equal opportunities and diversity principles
- Communicate effectively when working virtually
- Schedule and manage venue staff allocations as per exams timetables and deadlines
- Run accurate and timely procurement activities as per British Council financial standards
Customers/Relationship and stakeholders
- Carry out instructions and requests from line manager and other managers efficiently and effectively.
- Work with local HR for compliance with recruitment and induction of resources
- Act as main point of contact for all venue staff
- Escalate complex issues/ complaints regarding Venue Staff or Examiners to Operations Resource Manager to provide solutions
Risk and compliance
- Follow agreed corporate risk management processes and procedures when delivering services (e.g. child protection, security policies, financial protocols, anti-fraud measures) to protect the interests of the British Council and its customers
- Understand and apply examining boards and QCA compliance standards
- Apply contingency measures as per set policies
Analysis and reporting
- Support daily/weekly planning/capacity meetings
- Analyse outcomes and recommends improvements to resourcing standards
- Provide monthly reports on resource spending
About You (essential Requirements For The Role)
- Proficient in English language
- Arabic at Proficiency Level
- University degree or equivalent
- Minimum of 1 year work experience in administration and operations environments
- Experience with planning and scheduling
- Experience working in resources
- Experience working with external and internal stakeholders on a large scale
- Experience working in a challenging environment against tight deadlines.
