We are looking for an event management specialist (Project manager) to join the team to support the Event Leads across multiple different events.<\/p>\n

Role Summary<\/p>\n

• Manage all aspects of event planning meeting strict deadlines and budget demands<\/li>\n
• Nurture and build relationships with vendors, venues, and other industry contacts to craft and implement creative and logistical aspects of all events<\/li>\n
• Stay current, and often ahead of the curve, on event planning, design, and production trends, proactively identifying and solving operational challenges<\/li>\n
• Establish standard procedures and train staff to execute them<\/li>\n
• Comply with legal, insurance, health, and safety regulations at all times<\/li>\n<\/ul>\n

  Responsibilities:<\/p>\n

  \n
  • Coordinate with internal staff, clients, vendors, and others to establish needs for events, and serve as liaison to senior-level executives, government officials, and industry leaders throughout the planning process<\/li>\n
  • Research resources, make site visits and lead pre-event meetings when necessary to help staff make decisions about event design<\/li>\n
  • Plan and facilitate logistics for all events, including contract negotiations, guest lists, venue preparation, presentation materials, security, catering, entertainment, transportation, equipment, decor, and marketing materials<\/li>\n
  • Oversee client experiences from conception through post-event, managing on-site preparations, production, and event breakdown, ensuring consistent, high-level service throughout all phases<\/li>\n
  • Maintain and build a comprehensive database of industry contacts, vendors, and venues<\/li>\n
  • Troubleshoot and handle any issues that arise on the event day<\/li>\n
  • Support and work alongside the Event Lead for the smooth delivery of the event<\/li>\n
  • Create and manage the monthly Event Management meetings<\/li>\n
  • Plan and track against plans to deliver the program<\/li>\n
  • Establish program objectives and KPIs and ensure team members meet them<\/li>\n
  • Oversee tasks managed by team members to ensure project plans are completed and delivered as required<\/li>\n
  • Capture lessons learned as the program goes through its life cycle ensuring that, if necessary, they are factored into the year-after plan.<\/li>\n
  • Review and facilitate any feedback sessions following the event<\/li>\n
  • Carry out training on the Project Management software)<\/li>\n<\/ul>\n
