BACKGROUND
The Human Resources and Administration Coordinator supports daily project office activities by providing operational support to the project Operations and technical components as assigned by the supervisor. Through these efforts, s/he will ensure and maintain an efficient office environment.
DETAILED RESPONSIBILITIES
- Provide support to the Human Resources, recruitment, onboarding and offboarding.
- Manage the Timesheet for ERA project, including the short-term, and coordination with subcontractors.
- Lead on ensuring monthly timesheets is completed, to include tracking of LOEs for Long Term and Short-Term staff.
- Ensures office supplies are available for office use, including airtime for mobile phones and internet use.
- Manage office and kitchen supplies and ensure the relevant purchase requests are completed.
- Maintain office environment and office supplies in neat and orderly manner.
- Prepare for meetings and events including reserving the relevant space and ensuring the requirements are met. This would include negotiating with lodging and conference facilities.
- Manage project inventory.
- Assist in the preparation, receipt, distribution and filing of incoming and outgoing written project communication with USAID, the home office, local partner organizations, and other parties, when appropriate.
- Monitor office equipment service contracts, and other relationships with outside vendors that are related to office facilities, services or equipment. Suggest and make improvements when needed.
- Proactively address physical/equipment maintenance issues in the office.
- Print, photocopy & scan project documents as requested.
- Perform Admin Assistant and Receptionist duties when needed
- Performs all other similar duties as assigned

MINIMUM QUALIFICATIONS
- B.A education, in Business Administration or related field.
- Minimum of three (3) years of experience in Administration and/or Human Resources.
- Proven experience as an office assistant or other operational role; experience working on USAID-financed projects preferred
- Computer skills, particularly in MS Office software
- Strong interpersonal skills and ability to work with culturally diverse staff
- Strong English communication skills (oral and written)
LOCATION OF ASSIGNMENT
The Human Resources and Administration Coordinator will be based in the project’s office in Amman, Jordan.
