Administrative Assistant

MMIS Management Consultants is a leading consulting firm in Jordan, active in the market since 1988. We pride ourselves as the first local consulting firm in the country. Starting from humble beginnings, MMIS grew to become a major player at the local level, and gained an increasing foothold in the region. The company specializes in work with international development organizations, government and public sector, and private sector players.

We are actively expanding our team, and are looking to hire an administrative assistant.

Job Description:

As an administrative assistant, you will be responsible for the following tasks:

  • Oversee administrative support for senior management and technical team in a fast-paced and changing client service environment
  • Provide scheduling support to multiple individuals (appointment, calendar and meeting management)
  • Complete administrative processes (time and expense reports)
  • Prepare domestic and international travel logistics (itineraries, visas, etc.)
  • Coordinate internal and external meetings/activities (i.e. facility reservation and set-up, hotel accommodations, catering, etc.)
  • Prepare and organize documents for client proposals and presentations as needed (contract tracking, printing, organizing and archiving meeting / support materials)
  • Handle special projects with demanding deadlines
  • Front desk reception (answering phones, greeting visitors, handling deliveries)
  • Performing other duties as assigned or required; responsibilities will vary

Requirements:

  • Bachelor’s degree required
  • 2 years of relevant work experience as an Administrative/Executive Assistant, preferably in a professional services environment
  • Computer fluency with MSOffice (Word, PowerPoint, Excel and Outlook)
  • Strong language skills (speaking, writing, reading) in English and Arabic, English language test results (if available)
  • Ability to use graphic design tools (such as Adobe Illustrator, Canva…etc.) is a plus
  • Attention to detail, dependability/punctuality
  • Professional appearance and demeanour with ability to exercise good judgment and discretion
  • Proactive self-starter with ability to manage a wide variety of tasks and meet deadlines
  • Ability to work both independently and with a team in a demanding environment
