Job Summary:
The Procurement Executive is primarily responsible to liaise between Principals / Suppliers (External) for all procurement related functions in coordination with Operations / Sales Department (Internal) to ensure the timely purchase and delivery of goods / products as per the requirements with competitive price.
Key Responsibilities:
- Collate & prepare purchase forecast & requisitions to create purchase orders to suppliers to order materials, goods, and supplies both in excel and oracle system.
- Interact with the suppliers on a day-to-day basis to follow up on purchase order status as well as shipments.
- Handling accurate system entries in terms of Item master creation, purchase price entries, order entries, Initial GRN, HS Code preparation, Costing, Final GRN, documents pertaining to finance, etc.
- Co-ordinating with forwarders for collection of Shipments (Ex-works)
- Maintain updated records of purchases, pricing, delivery information, invoices, and other important data with proper filing, documentation, and archiving.
- Coordinate and follow-up regularly with principals, forwarders, customs clearance to ensure timely arrival of shipments.
- Maintain and monitor all shipments & accurate documentation reaches the Warehouse.
- Improving the procurement processes by proposing strategies and suggesting improvement initiatives to enhance the organization’s ability to meet project deadlines.
- Review and analyze all vendors/suppliers, supply, and price options in collaboration with Functional Head.
- Coordinate frequently and maintain cordial business relations with all relevant stakeholders – Sales & marketing team, operations team.
- Maintain and update a list of suppliers and their qualifications, delivery times, and potential for future development.
- Prepare the periodic report on purchases including cost analysis as per the stipulated time frame.

Minimum Qualifications / Experience / Technical Skills Required:
Bachelor’s Degree in Commerce / Business Administration / International Business / Supply Chain Management is preferred. IT knowledge skills including working knowledge of ERP and customer data systems; Oracle ERP knowledge is an advantage. Updated knowledge on legal compliance in logistics / freight forwarding process & procedures. Advanced knowledge in Excel is imperative.
