Action Against Hunger (ACF) is an international non-governmental organization working in more than 40 countries in the fields of nutrition, food security and livelihoods, water sanitation and hygiene, and care practices. ACF is looking for its program in Jordan for Finance Assistant
Workplace: Amman Coordination office with frequent travel to the field (10%)
Position Overview:
Under supervision of Finance Head of Department, the finance assistant will ensure quality preparation of the audits through systematic checks on finance files to be archived physically and electronic with compliance to Action Against Hunger policies and procedures.
Responsibilities:
1) Cash and bank Management:
– proceed cash transactions on daily basis, ensure sufficient petty cash balances availability.
– check the eligibility of invoices and support documents submitted for payments
– prepare cash advances according to cash management policy
– follow up opened cash advances, ensure the cash advances are justified on time.
– Prepare bank letters and transfers forms, submit and collect documents to/ from the banks
– Ensure availability of bank check books.
– Contact suppliers and staff for distribute checks and staff cash advances
– Covering field finance officer at when required.
2) Bookkeeping:
– Ensure completeness of payment support documents in compliance with the internal policies and procedure.
– Keep up to date records for cash advances (staff, program, logistics)
– prepare monthly cash and bank reconciliation
– record daily financial transactions in the accounting system, ensure ledgers are updated on daily basis.
– Ensure that cash, checks books and other important documents are probably safe guarded in the office’s safe.
– Support the process of the monthly accountancy closure.
3) Archiving and audit preparation:
– Translate the invoices when required.
– Archive and filing of the accounting documents according to Action against hunger financial procedures
– On a regular basis, carry out checks on the accountancy documents and ensure their compliance;
– Make sure the documents are signed, stamped, dated as per Action Against Hunger financial procedures;
– Proceed with the scanning of the documentation, as per the electronic archiving procedure.
– Prepare audit samples
4) Ensure adherence to Action against Hunger gender requirements
– Commit and comply with the organization gender, age and diversity principles & policies (working with people, communication)
– Support on the implementation and the promotion of gender, age and diversity principles through daily activities and or through the management of their teams (Managing performance & development)
Skills
- Organized, time management, and attention to detail.
- Very good communication & training skills and ability to maintain confidentially.
- Intermediate knowledge in Microsoft Office skills particularly in MS Excel.
- Team player, flexible and adaptable
Education:
Degree equivalent in Accounting/Finance
Type of professional experience requested:
- At least 1 years of professional experience in Finance related roles.
- Prior experience in NGOs/INGOs is highly preferred.
- Experience with SAGA accounting system is an added advantage.
- Basic knowledge of donor’s compliance and financial guidelines.
Language level:
Fluency in Arabic. Good level in Spoken and written English
