ORGANIZATIONAL CONTEXT
Taking responsibility for completion of a range of processes and activities requiring some interpretation of standard guidelines/practices for all assistance modalities for both WFP and logistics common services. And also recommending a course of action to staff at various levels and may allocate tasks to other support staff.
JOB PURPOSE
To implement well-defined standard logistics/supply chain processes and activities to enable effective delivery of goods and services for all delivery modalities.
KEY ACCOUNTABILITIES (not all-inclusive)
- Verify the Waybills information (Date, Amount, Destination, Batch #, NGO / food suppliers, Donor, PO #, PO line, Tender #,).
- Generate a cover page for each waybill briefing all the verified information and making sure that the delivered amount didn’t exceed the allocated amount, plus generating a unique WB/doc number.
- Post and record deliveries & Losses into LESS following WFP technical procedures.
- Communicate on daily basis with Stakeholders /Operation team to solve any discrepancies.
- Reviewing food suppliers Monthly Distribution Reports (MDRs)- (Opening/Closing Stock, and arrivals), prepare a compiled MDR for under different modalities.
- Compile all Distributions for all activities segregated as per activities and as per donors.
- Participate in COMET (WFP specialized tool) reconciliation to clear differences: recommend the required corrections.
- Generate required reports of Arrivals/Distributions for a specific Donor which require to perform filtration and manual extraction of some lines from the MDRs (add/deduct transfers) as well as generate required reports for Suppliers’ Payment Claims.
- Resolve discrepancies between invoices and waybills/posted arrivals.
- Coordinate/liaise with other WFP units (Procurement, Finance, and Program Units) to fulfill the required tasks: in terms of posted GRNs (Gender results network), suppliers' invoices, solving discrepancies, requesting: tolerances, reallocation for the excess quantities and extending expired grants if any is required.
- Maintain filing system.
STANDARD MINIMUM QUALIFICATIONS
Education: Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.
Language: Fluency in both English & Arabic languages
Experience: Minimum of 5 years of experience in the field of logistics or supply chain.

DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE
• Experience using corporate systems to monitor ongoing shipments, pipeline information, insurance claims, and food stock.
• Experience analysing data (on commodities, funds, etc.) and drafting reports.
• Experience in measuring service providers’ performance against set KPIs.
• Experience in assisting the preparation of contract documentation.
• Experience in providing technical business support in corporate systems.
TERMS AND CONDITIONS
Fixed-term Appointment: an appointment for a continuous period of one year and shall have a specified expiration date and subject to a probationary period of one year, which may be extended to 18 months.
Annual Net Pay Salary: as per the established salary scale with then the country
Staff Assessment A staff assessment, comparable to national income tax, shall be applied to the gross salaries and such other payments as are computed on the basis of salary, The assessment shall be calculated at rates set forth in the FAO Administrative Manual.
Dependency allowances: applicable to children up to 18 years of age, or up to 21 years in full-time school attendance
United Nation Joint pension fund a deduction of 7.9% from the pensionable remuneration will be made from the net salary, the WFP will contribute of 15.8%
Medical Insurance: mandatory for staff member and can be extended to dependents in a cost sharing
Annual leave: 2.5 days a month and Sick leave: 2 days per month
Official Holiday: 10 days as officially established for each duty station
