Job summary :
Responsible for operating the main company switchboard, receiving visitors, managing inbound and outbound mail and courier packages. The first point of contact for all visitors. Handle day-to-day reception duties to present a professional image of the organization to external customers and business partners, as well as provide administrative support to the HR & Administration department within company guidelines with the objective to ensure smooth and effective operations of the office
Job Responsibilities
- Receives equipment, materials, or supplies ordered verifying against specifications on requisition or other documents
- Operate a switchboard and receive visitors so that all callers/visitors are dealt with promptly, courteously, and accurately, Minimum missed/delayed calls
- Receive and correctly route incoming and outgoing telephone calls at a switchboard. Take and distribute accurate messages, Internal/External Customer service
- Greet visitors and determine the nature of their visit; issue visitor passes and maintain visitor logs; alert appropriate party of visitor arrival or direct visitors to appropriate office, department or employee, No complaints

- Respond to routine inquiries from internal or external sources, for example on the organisation's location, hours of operation, phone numbers, or email address, Correct information provided
- Organising and distributing mail, receiving and sending courier packages
- Complete, check, and process HR-related forms and documents in accordance with established guidelines so that HR related matters are administered quickly and accurately. Forms may include applications for vacation or leave of absence
- Respond to enquiries and assist employees and managers to complete HR-related forms to ensure that the information provided is accurate and complete
- Follow-up with employees, managers, or external agencies to verify that the information provided is accurate and complete
- Prepare overtime statement & attendance for employees, Data accuracy
- Preparing statement for e-dirhams, Maintaining a professional image on the telephone and in person at all times
