ORGANIZATIONAL CONTEXT
The hunger crisis in Afghanistan is unfolding at a rapidly, with over half the country’s population of 40 million now facing acute food insecurity—the highest number the humanitarian community has ever seen in Afghanistan. Work opportunities are shrinking, with most households now reporting just one day of work per week. This comes on top of the worst drought in years, which is especially concerning for the 85 percent of the population who rely on agriculture for livelihoods.
Preventing and mitigating a drastic increase in hunger and malnutrition is the aim of WFP in Afghanistan which can only be achieved through the scaled up and sustained complementary food security and nutrition interventions, combined with a scale-up of resilience interventions to safeguard gains. WFP has embarked on a significant month on month scale-up of its crisis response and resilience programmes across the country, ensuring that the programme is delivered at the right scale and time, targeted to the right areas. WFP is also actively following up on evolving trends to pre-empt hotspots, while guaranteeing quality and maximum impact of the programme through the monitoring of these hotspots to be able to support continued donor advocacy.
JOB PURPOSE
To support the data management activities including date entry, handover and receipt of computer to CPs; work with ICT for computer maintenance, data tracking and support the SO managers in creation of SOEs etc. The incumbent will also support and will be backup for the relevant SCOPE and data entry team as required.
KEY ACCOUNTABILITIES (not all-inclusive)
- Assist in the release of IT equipment including computers, SCOPE devise etc to Cooperating Partners and ensure on time delivery and receipt accordingly.
- Resolve and response to CPs queries on ICT equipment needed for SCOPE registration and if need be escalating to the relevant SCOPE/ICT team to ensure that no delay happens in responding back to partners and all the required support is provided.
- Assist the SCOPE Team and the SO focal points in the preparation of materials and the delivery of trainings on SCOPE related issues on to ensure efficient and effective use of IT equipment by the partners.
- Provide support to the SCOPE/CBT team in the process of de-duplication.
- Responsible for the tracking of all IT equipment of KAO and is the inventory focal point for the KAO-SCOPE/CBT items.
- Track and collect back all computers, provided to CPs, after the completion of the data entry and SCOPE registration and check the status of the returned computer; fill the loss and other required forms as appropriate.
- Prepare inventory item temporary loan form of SCOPE equipment for CPs and ensuring dually signed, and collect distribution report from FSPs when needed.
- Support KAO SCOPE team in reconciliation of deduplication of beneficiaries, uploading CPs data to SCOPE, print and arrangement of targeted/highlighted beneficiary token cards from SCOPE system.
- Coordinate and/or provide support in other services (e.g., moving assets, reorganizing, assisting in setting up conference/meeting/event locations, etc.), to ensure organized and safe work environment.
- Assist in maintaining accurate inventory records through physical check and maintenance of lists/database of computers issued to different partners and communicate regularly with the ICT for any loss or damages of any set.
- Communicate with WFP relevant partners e.g., CPs, FSPs on regular basis to ensure timely and smooth submission of the SCOPE registration and ensure the equipment are ready for operation.
- Process and printing of MTCN voucher cards and share with FSP, CPs as appropriate.
- Help Head/deputy of Office and other relevant team in facilitating visitors and processing security clearance etc.
STANDARD MINIMUM QUALIFICATIONS
Education:
- Completion of secondary school education.
Experience:
- Three or more years of experience in general asset and data management related (inventory, tracking of assets and data entry) work.
Language:
- Ability to read, write and speak fluently in English (Level C) and the local languages (Dari and Pashto).
Knowledge & Skills:
- Very good knowledge of using MS-Excel (data manipulation, formulation, calculations, and reporting excel based large quantity of data).
- Familiar with inventory system, data cleaning, quality assurance, and reconciliation.
- Ability to use standard office equipment such as photocopiers and scanners.
- Knowledge of standardized business support work routines and methods.
- Knowledge of standard other office software packages, e.g. Microsoft word, Power point.
- Uses tact and courtesy to give and receive information with a variety of individuals.
- Ability to work to deadlines and follow clear instructions.
