JOB PURPOSE
To deliver a wide range of business support processes and activities for a specific professional area of work, to facilitate effective service delivery.
KEY ACCOUNTABILITIES (not all-inclusive)
Under the overall supervision by the Head of Area Office in Pakokku, the incumbent will perform the following duties:
- Extract and input data from various sources in administrative, human resource, procurement and WING II entry for each travel and SES for local procurements and other WFP corporate systems.
- Initiate the process of administrative actions on travel, procurement and disbursement including utilities maintenance services, office supplies.
- Prepare monthly Admin closure and Asset Inventory report, monthly staff leave and attendance record for the staff.
- Assist in preparation of mission visits, mission schedules and meeting arrangements.
- Necessary arrangement of the travel for all staff such as travel authorization registration, fleet allocation, accommodation and ensure security clearance etc.
- Perform as travel focal and ensure that all the trips have been recorded in a system and handling the TEC claim process has been done on time.
- Maintain a selected number of administrative control records, such as for commitments and expenditures, travel, insurance, procurement and other.
- Assist in vehicle control and management including service record of vehicle repair and maintenance expenditures and allotments through WFP corporate systems.
- Participate in annual physical count and Reconciliation of Assets (PCAR) process and support for inventory management in Area office.
- Administrative support for One UN office compound, documentation support such as space allocation, budget calculation and support for lease drafting preparation.
- Assist with day-to-day administration of contracts with external contractors; check contractors’ invoices against the goods and services provided and process payments.
- HR related matters for local staff recruitment and selection, appropriate record of personnel contract, leave reports and overtime claim by monthly basis.
- Responsible as HR and ICT focal for Area office.
- Assist and provide support for all Admin, HR, ICT and Procurement related tasks out post field-based staffs in Chin State and Nagaland.
- Perform other related duties as required.
STANDARD MINIMUM QUALIFICATIONS
Education: Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.
Experience: Five or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.
Knowledge & Skills:
- Knowledge of specialised common business practices and methods, gained through relevant technical training and experience.
• Ability to develop and maintain relationships with a range of individuals in order to provide a high quality support service.
• Ability to carry out basic data analysis and independently rectify problems requiring attention.
• Ability to monitor and record financial transactions.
• Good communication skills required to give and receive information and work with a variety of individuals.
• Ability to maintain confidentiality.
Language: General Service (Field): Fluency in both oral and written communication in Myanmar and English.
