STANDARD MINIMUM QUALIFICATIONS
Advanced University degree in Engineering or bachelor’s degree with additional years of related work experience and/or training/courses related to Supply Chain or Logistics at technical college, university, or similar institution.
ORGANIZATIONAL CONTEXT
These jobs are likely to be found in Headquarters (HQ), Regional Bureaux (RBs) or Country Offices (COs). In the field, role holders typically report to the Head of Field Office or the designate. In RBs and HQ, job holders report to a more senior Logistics Officer. Job holders are likely to be working closely with a more experienced professional staff member receiving guidance and regular feedback on work performed.
JOB PURPOSE
To collect, analyse and report on information to maximise efficiency of the logistics operations and activities.
KEY ACCOUNTABILITIES (not all-inclusive)
- Manage and monitor the performance of the trucks / trailers to achieve maximum utilisation, Vehicle Routing & Scheduling for the timely deliveries of both Food and Non-Food-Items for Operational needs.
• Carry out Scheduled Maintenance & Repair, Overhaul, Reconditioning, Modifications, in a most efficient manner with the ultimate objective to ensure that all vehicles are maintained to a high standard and roadworthy condition.
• Responsible for overseeing the Materials Management aspect of the operation and in particular the controlling, justification and issuance of Spare Parts, tyres, lubricants & Consumable Materials at the Area offices and Sub offices level.
• Responsible for forecasting and requisitioning of spare parts: Preparation of orders for spare parts
/ tires and materials required for the operation and submit these requests for the approval of the Fleet Manager.
KEY ACCOUNTABILITIES (Continued)
- Responsible for the management of tyres which include maintenance practices, controlling mechanisms and performance monitoring.
• Ensure proper Workshop Administration, record keeping & vehicle History Records are well maintained via the Fleet Management System for all the sub offices and area offices.
• Responsible for managing and ensuring that all reports and information as required by the Organisation are produced promptly and in a timely manner. Additionally, analyse information and quality of report prior to distribution.
• Responsible for the Management of POL (Petroleum, Oil & Lubricants) ensure that the quality / quantities of the supply of fuel & lubricants are in accordance with standards set.
• Ensure that all Repairs & Maintenance performed to vehicles / machinery is in accordance with the required standards established to achieve maximum reliability with minimum downtime and quality Workshop Management maintained.
•Implement Best Practices established and ensure that KPI’s (Key Performance Indicators) are
maintained with parameters set.

OTHER SPECIFIC JOB REQUIREMENTS
- Experience in commercial or humanitarian transportation sectors.
- Experience monitoring and reporting on transport and freight market conditions and trends.
- Experience coordinating transportation processes with other units/ teams.
- Experience in communication and reporting.
- Experience in working with logistics systems (databases, software).
- Experience gained in logistics and fleet management is an added advantage.
Good analytical skills, resourcefulness, initiative, tact, and ability to work in a team and establish effective working relations with persons of different national and cultural backgrounds.
DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE
At least five years of experience working in humanitarian logistics and / or in the Fleet Management operations or similar field.
