We are seeking an Administrative Assistant for CEO. where the ideal candidate will possess a executive presence and ability to manage CEO’s diary and multitask. You should also be a self-starter who is prepared to take initiative and able to prioritize.

What You’ll Do, but not limited to:

Executive Support

Completes a broad variety of administrative tasks for the CEO and commercial team including: managing several active calendars of appointments; composing and preparing correspondence that is sometimes confidential;

Arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel related meetings

Provides “gatekeeper” role

Provides a bridge for smooth communication between the teams and external contacts.

Works closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately.

Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO’s ability to get activities completed.

Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.

Administrative Support

Assists in coordinating the agenda of senior management team meetings and off-sites, and all-staff meetings

Answer main phone and relay messages

Greet guests in a professional manner

Assists in the planning and execution of office wide events such as Holiday Party, team-building initiatives, and corporate gifts.

Arrange and prepare monthly team meetings’ presentations.

Prepare high-level presentations and materials for meetings with the Board members

Assist CEO in submitting the expense claims.

Keep a track of department expenses

Follow up with the team on the action points to ensure completion in a timely manner.
