Objectives:
A project coordinator who has the ability to handle administrative tasks for the project manager and team members to keep the project running smoothly. Project coordinator needs to be organized, efficient, good at multitasking, and driven to succeed.
Key Responsibilities:
– Maintain and monitor project plans, project schedules and other key project control documents in alignment with project delivery framework.
– Organize and participate in internal as well as any other key stakeholder meetings and workshops; chair project team meetings on behalf of project/program manager as and when required and directed.
– Document the minutes of meeting (MOM) and diligently follow-up on important actions from various project team meetings.
– Assist project/program manager in preparation of presentation materials for project meetings and other governance forums.
– Provide administrative and logistical support to the wider project team.
– Raise purchase orders for the supplier invoices, record project expenses and assist project/program manager in tracking project finances.
– Track and maintain project risks, issues, actions and decisions and other key project artefacts.
– Track and store projects documents and store them on document shared folder.
– Represent project /program manager in internal meetings, as and when required and directed.
– Escalate any critical items for project/program manager's attention which may have an adverse impact on project delivery and its outcome.
– Create and maintain project management calendar (Steering committee schedule, absence calendar for the project team members, travel schedule etc.).
– Work with project/program manager and project team to ensure that the project status updates, and other materials/information required by Program Management Office (PMO) is produced on time.
– Liaise with internal as well as external suppliers to organize and manage workshop schedules and ensure that needed resources (meeting rooms, videoconferencing, etc.) are arranged for the event(s).
– Work with the Pregame sponsor to facilitate project communications, log responses and track attendance at key project meetings/presentations.
– Participate and contribute in the preparation and conduct of any internal or external quality assurance reviews on the project.
– Undertake project tasks and any other responsibilities related to the project as delegated by project/program manager.

– MS Project, Power Point
– Strong communications skills, both written and verbal.
– Skill at managing stakeholder groups and balancing diplomacy and tact with assertiveness.
– Good prioritization and organization skills.
– A strong customer centric approach.
