We are looking for an Executive Assistant to join the Airport International Group – Queen Alia International Airport (QAIA) team. Candidates must possess the following qualifications:
1. Bachelor’s degree in Business Administration or equivalent
2. Customer service skills
3. Good analytical skills
4. Excellent organizational and time management skills
5. Excellent communication skills
6. Excellent command of both English and Arabic languages (written, spoken)
7. Good knowledge of Microsoft Office – mainly Word, PowerPoint and Excel
8. Experience in a similar role of no less than 5 years in international/multinational companies
Job Purpose: Act as the first point of contact for external third parties and internal stakeholders.
Principal Accountabilities:
·Screen telephone calls, inquiries and requests;
·Handle incoming/outgoing emails, faxes and posts and correspond on behalf of the direct supervisor when needed;
·Meet and greet visitors of all levels of seniority, as well as liaise with clients, suppliers and staff;
·Organize and maintain the calendar of the Chief Commercial Officer:
o Set appointments
o Coordinate meetings
o Ensure any necessary follow-ups
o Ensure parties’ attendance
o Document meeting organization (contacts, venue, room reservation)
o Ensure division directors and managers are well prepared
o Prepare minutes of meetings and action tracker, as required
·Create and ensure an appropriate filing system:
o Incoming letters
o Incoming emails/calls
·Ensure appropriate follow-ups for answers to client inquiries, as necessary;
·Translate correspondence and all types of documents (Arabic to English and vice versa) when needed;
·Arrange requests for airport permits and occasionally accompany clients on behalf of the direct supervisor;
·Devise and maintain office systems – including data management, purchasing system, training follow-ups, team vacations, etc;
·Prepare invoices, reports, memos, letters and other documents in coordination with relevant divisions;
·Prepare responses to routine inquiries;
·Arrange travel and accommodation for the Chief Commercial Officer;
·Comply with the quality, environmental and complaint management system;
·Support the safety and security program to comply with ICAO standards and local regulatory health and safety requirements;
·Conduct media monitoring for any relevant news that may impact the company/division;
·Assist in preparing presentations;
·Arrange CCO office events
·Supervise the administration officer (s)
·Perform any other tasks assigned by the direct supervisor.
