الوصف الوظيفي

· Sales and Logistics Coordinator must be able to respond quickly and efficiently to any incoming online or telephone queries in a calm and friendly manner.

· Reports to Admin Manager/Product Manager/Sales Manager or Finance Manager

· Assisting in implementing the sales strategy as set by the Sales manager, and in association with the Sales Account Manager

· To record the progress of all enquiries and translate into a monthly report, including source of business trends, enquiry conversion rates, future predicted sales and other reports as directed by the sales manager

· Ensure an efficient tracking system of all event paper-work

· Up-keep of a client and agents database – updating where necessary to allow effective promotions

· Compilation of weekly overview sheets to all departments including communication and administration of ancillary services.

· Key Responsibility includes

· Sales and Logistics Coordinator should have

  • Responsibility to process all orders in Navision
  • Ensure that no orders are left pending
  • Coordinate with Sales Account Manager for different product line at all times
  • Should effectively use all resources at disposal to ensure that all orders are send for release in a timely manner in order for the logistics to ensure delivery
  • Must liaise between other departments and the client to provide the service most suitable to the client’s needs, cost and time restraints.
  • Ensure that every Purchase order that arrives is queued and subsequently passed on to the respective teams for processing.
  • Is the chief point of contact for all partners with regards to order processing and deliveries
  • Closely coordinate with Logistics to ensure that each and every task is completed within the timeline agreed by the Sales Account Manager to the partner
  • Should be well versed with Navision on all Sales and Marketing aspect
  • Should be able to send Quotes, address queries related to products as and when required.
  • Key responsibility includes but not limited to ensure
  • Stock reconciliation with Finance personnel
  • All orders are executed
  • All pending orders are updated to respective AM’s
  • Virtual orders are executed and acknowledged by Partners

· Sales and Logistics Coordinator must also be able to work closely with the Sales team to assess the progress of the work at hand and ensure to complete a task completely

· The Sales and Logistics Coordinator is required to produce reports on progress within the department and outline any developed strategies to improve.

· Should be well versed in Office and possess high level of efficiency in administrative work and effective in paper work.

· Able to handle large volume of communication with Partners and must possess excellent customer service skills.

· The Sales and Logistics Coordinator will sometimes be required to make quick decisions relating to client requests and must be assertive in doing this but must also know when to advise that an immediate decision cannot be made – rather than promising something that cannot be delivered.

· Attention to detail is essential at all times to ensure the highest standard of customer satisfaction.

· Time management is of the essence and must be confident that they can deal with a number of things at any one time and constantly re-evaluate priorities.

· Sales and Logistics Coordinator must be flexible in terms of working hours as business demands can often change at the last minute. The role is generally business hours, however some evening and weekend work will be required.
