JOB PURPOSE
Responsible for the overall spare parts store and yard management in Dubai Fleet Centre in accordance with the established procedures, normative guidelines as set in the Logistics Fleet Manual.
TYPE OF CONTRACT: Fixed-Term Appointment
JOB GRADE: G4
UNIT/DIVISION: Management Services Fleet Center (MSDF)
DUTY STATION (City, Country): Dubai, UAE
DURATION: 12 Months with a possibility of extension
The incumbent will report to the Dubai Fleet Centre Head of Technical Unit and work with close collaboration with the Workshop Manager and the Admin Assistant for Technical Unit.
KEY ACCOUNTABILITIES (not all-inclusive)
1. Effectively receive/dispatch goods including transshipment (truck to truck) against official approved documentation (e.g. waybills and/or delivery notes) ensuring accuracy in physical count of goods including the quality in compliance with the established standards.
2. Prepare, verify and sign off warehouse and transport documents, and maintain confidential files and accurate warehouse transaction records to ensure immediate reporting on commodity movements in line with the corporate requirements.
3. Conduct daily warehouse closing reconciliation and accurate inventory checks supporting internal control systems in compliance with the warehouse management requirements.
4. Perform daily inspections and prepare reports on the quantity and quality of the goods received/dispatched and handled, detect promptly and analyse reasons for stock discrepancies/damages, investigate missing quantity and prepare warehouse loss reports recommending appropriate solutions, to enable informed decision-making.
5. Implement appropriate measures to safeguard non-food goods, to ensure quality control using standard preventive measures in line with WFP established procedures and authorization received from the supervisor.
6. Monitor condition of the warehouse and goods and take appropriate actions, to support efficient warehouse space-planning and well-organized commodity storage following WFP warehouse standards.
7. Provide guidance and on-the-job training to warehouse staff to contribute to their development and high performance.
8. Receive vehicles from the transporter in the yard; ensure post-delivery inspection by the supplier; inventorize the vehicles; ensure periodical maintenance of the vehicles in the yard.
9. Verify that quality of items to be procured/fabricated is of high standard and meet the requirements; also, advise on the specifications when necessary.
10. Prepare orders for both Local and International Procurement and track the complete procurement process until goods are finally received.
11. Obtain and maintain the latest up-to-date spare parts catalogues, prices list cross-reference and superseded numbers for all operational Assets.
12. Responsible for environmental issues and the regular disposal of tyres/lubricants and other disposable accessories/equipment in the store.
13. Ensure that all data of receipts/movement of material and assets is entered into FMS (Fleet Management System, Software application) and analyse the data to produce report as required.
14. Perform other related duties as required.
STANDARD MINIMUM QUALIFICATIONS
Education: Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.
Experience: At least four years of relevant experience in warehousing, logistics or in relevant field of work.
Language: Fluency in both oral and written English language.

DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE
• Experience using logistics databases to extract routine reports.
• Experience in managing warehouses
• Experience in managing inventories.
• Experience in processing invoices.
• Extensive experience gained using a computerised Fleet Management System.
• Held the position of Supply Chain /Spare parts or similar job in a company/NGO with at least 4 years of experience gained in the relevant field.
PERFORMANCE CRITERIA
1. Responsible to produce timely accurate Information/Data & Reports requested and ensure that they are promptly carried out and expedited in an efficient manner.
2. Achieve maximum spare parts/materials availability to maintain the fleet with minimum downtime maintaining minimum stock levels to achieve the most cost-effective stock control.
3. Responsible to maintain accuracy in inventory of all WFP assets at high level.
