ORGANIZATIONAL CONTEXT

These jobs are found in Country Offices (COs), Regional Bureaux (RBs), and Headquarters (HQ). Job holders typically provide administrative support to team(s) and/or support a specific business stream, and report to the relevant Associate. At this level, work is carried out under close supervision or immediately available assistance. Job holders are expected to produce organised and accurate work.

JOB PURPOSE

To deliver a range of routine business support tasks, to ensure that staff are effectively supported.
Job Title: Business Support Assistant (RASO)

Level: SC 3

Salary: Starting from AED 8,666.40 per month (inclusive of pension), plus medical insurance and other entitlements.
Duration of Employment: 12 months with possibility of extension
Under the supervision and direction of the Regional Aviation Safety Officer, based in Sharjah-UAE, the incumbent shall have the following duties and responsibilities:

KEY ACCOUNTABILITIES (not all-inclusive)

  1. Respond to routine queries received and escalate where appropriate, to provide a timely and accurate service to other clients.
  2. Proofread written documents, such as standard reports and correspondence, to contribute to the accuracy of written information developed by staff.
  3. Support the maintenance of office files, documents, and records in accordance with established systems and processes so that information is current and readily available for staff.
  4. Collect, sort and disseminate correspondence, reports and other material to meet the required demands of staff.
  5. Support the team in the organization and preparing artwork for ASU facilitated trainings, conferences and workshops for WFP staff an external attendee worldwide.
  6. Undertake standard data entry tasks within ECCAIRS when requested in accordance with defined work instructions, to ensure information is organized and readily available for the team.
  7. Support archiving occurrences actual reports within ECCAIRS.
  8. Support the team achieve its computer-based training objective by supporting the design, development, implementation phases and tracking learner’s attendance.
  9. Support the learners and respond to their inquiries and trouble shooting in a timely manner.
  10. Perform other related duties as assigned.

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education.
Experience: Three or more years of experience in general administrative work.

Knowledge & Skills:

• Ability to use standard office equipment such as photocopiers and scanners.
• Knowledge of standardised business support work routines and methods.
• Knowledge of standard office software packages, e.g. Microsoft word.
• Uses tact and courtesy to give and receive information with a variety of individuals.
• Good attention to detail in order to identify data discrepancies.
• Ability to work to deadlines and follow clear instructions.
Language: Fluency in both oral and written communication in English language.
