WARRANTY MANAGEMENT OFFICER TS

Job Description

Job Purpose
JOB ACCOUNTABILITIES:
– To investigate, review, prepare, record and submit valid warranty claims for all Ground Support Equipment (GSE) and Material Handling Systems (MHS), equipment, assets and spare parts.
– Ensure timely and successful resolution of all claims with suppliers for minimal financial and operational impact.
Deploy
– Responsible for establishing the warranty management process for equipment and parts maintained by
dnata Technical Services (dTS)
– Responsible for creating and maintaining a database containing the specific warranty
information/contracts for all applicable GSE and MHS assets and spare parts
– Co-ordinate with the Original Equipment Manufacturer (OEM) /supplier to agree the most suitable and
effective approach to resolve warranty issues in the quickest possible time
– Liaise with Planning Logistics team to co-ordinate any transportation of equipment or parts to/from
OEM/supplier as required
– Regularly monitor and manage the dTS warranty process, and if there are any gaps identified in the
process, coordinate with respective stakeholders to resolve
Lead
– Lead the overall warranty process of dTS, and for any complex or reoccurring cases, escalate to the dTS
Engineering and Workshop teams as required
– Liaise with all internal and external stakeholders to resolve all queries related to equipment and spare
parts warranty
– For all valid warranty cases, follow-through to completion of all issues, regardless of the scenario
– Monitor the technical feedback received from Supplier related to warranty claims and communicate the
relevant information to respective stakeholders
– Regularly coordinate with dTS section to identify possible warranty claim opportunities
– Lead any warranty related investigations and work closely with the Engineering and Workshop teams to
reach the optimum conclusion for dTS
Execute
– In the event of equipment or parts failure, check the validity, terms and conditions of the associated
warranty to establish if a claim can be made
– Investigate, review, prepare, record, submit all valid warranty claims follow up on delays
– Process warranty claims on a timely basis and ensure proper documentation is prepared and submitted
– Follow-up on payments of outstanding claims or shipments of warranty part replacements. Escalate any financial issues to dnata finance
– Work closely dnata finance to ensure they have full visibility of financial claims and associated
payment/credit notes
– Reconcile all warranty receivables with payments/credits and submit through the appropriate accounting
channels.
– Review all rejected claims promptly, review the reason for rejection and resubmit if appropriate. Or seek
approval to revoke the claim
– Produce monthly reports giving visibility of the status of all warranty claims and the associated cost
savings.
– Update relevant records/data related to all warranty claims in the appropriate IT system
– Provide regular updates to the Material Planning Specialist on the status of all warranty claims and
recoveries
– Provide any other support to dTS Management as required
Qualifications & Experience
Qualification:
– 12 years schooling or equivalent
– Diploma qualification in Engineering related discipline desirable
– Airport Driving Permit is desirable
Experience:
– 5+ years of experience in automotive assets and parts warranty management (ground handling
industry experience advantageous)
– 1+ year of experience in an operational supervisory position desirable
Knowledge/Skills:
– Working knowledge of Maximo or other computerised Maintenance Management System (MMS)
– Proficient Computer Literacy Skills including MS Office suite of products ability to exploit MS Office database tools such as MS Excel or MS Access – Advanced planning and organizing skills
– Advanced level of written and spoken English (English level 5)
– Demonstrated ability to working within a safety and quality framework
– Attention to detail
– Strong numerical, analytical and problem solving skills
– Broad knowledge of the functional units within a Ground Services Equipment (GSE) operational environment.
