BACKGROUND

JOB SUMMARY

Under the direct supervision of the Medical Coordinator, the Senior Pharmacist will serve as a focal person for UNHCR, spearheading pharmaceutical affairs under UNHCR grant and relaying information, reports, and concerns to UNHCR as and when needed. The senior pharmacist will supervise pharmacy supply chain processes in accordance with IMC standards, protocols, and procedures, to ensure its efficiency and operating availability.

MAIN TASKS AND RESPONSABILITIES

Scope of Work:

  • Communicate with the prescribing physician on prescription errors (i.e., unclear handwriting, drug-drug interactions, age/weight-based dosing)
  • Conduct audit of doctor’s prescription in hospital ward and PHC clinics in Azraq and Zaatari camps.
  • Manage the pharmaceutical stock in the Hospital & PHCs, arrange stock by category and in alphabetical order, with the earliest expiring stock at the front of the shelf and the first in first out techniques “FEFO”
  • In coordination with the warehouse supervisor/officer, record the receipt and distribution of medications & GIK medicine, ensuring that all documentation is complete and accurate.
  • Receive the orders from the supplier and inspect items (do the Q.C), as to quality, quantity, and expiry dates. Provide the supplier with feedback in case of irregularity.
  • Ensure that all medicine and medical supplies are stored per the manufacturer’s recommendations.
  • Ensure the daily, weekly, and monthly reports are submitted to the Medical Coordinator
  • Ensure the implementation of Jordan MOH clinical policies (JFDA), tools, GPSU guidelines and UNHCR pharmacy manual for rational use of medications.
  • Monitor the supply quantity, expiration dates and quality of medicines and medical supplies.
  • Notify the Medical Coordinator in advance in case of high consumption and/or over prescribed medications that may lead to low stock or stock outs.
  • Support the Pharmacy Supervisors in both camps regarding the EAM. Provide technical oversight and support for field facilities, on request.
  • In collaboration with the Medical Coordinator, compile and develop training and orientation materials and guides for field pharmacy staff related to pharmaceutical stock management.
  • Perform other duties, as needed, or requested by the Medical Coordinator.
  • Other duties as assigned. The duties and responsibilities listed are representative of the nature and level of work assigned and are not necessarily all inclusive

Procurement of Medications:

  • Will serve as a focal person for UNHCR for effective quantification of medications under UNHCR grant.
  • Will implement and lead quantification process by adhering to a bottom-up approach where the consumption pattern from end user units and the contextual factors will be taken into account to project the needed quantity for each item under UNHCR grant.
  • Will liaise with the procurement department in raising PRs and discussing any issue that may come forth as a result.
  • Perform selection of items together with Medical Coordinator after the RFQ process within the procurement guidelines.
  • Participate in the TCM meetings for UNHCR procurements and follow up on any outstanding issues that may arise after.

Reporting

  • Compile monthly pharmacy report and ensure it is sent to UNHCR prior to the 15th of every month.
  • Ensure that pharmacovigilance issue is relayed to UNHCR focal person soon as possible.
  • Support in compiling any other report that might be necessary at any given moment.
  • Continuous monitoring and compliance with the Pharmacy Information Management (PIMs).
  • Regular extraction, reviewing, and monitoring of the PIMs reports, and reformatting them based on donors required data,
  • Compile the data from PIMS and the tally sheets at the field level and justify any discrepancy in stock analysis report.

MINIMUM REQUIREMENTS

  • B.Sc. degree in Clinical Pharmacy “Doctor of Pharmacy” from known & identified university.
  • At least 2 years working experience as a Clinical Pharmacist in a known Hospital (tertiary health care facility).
  • “License to practice issued by MOH” & membership from JPA.
  • Experience with INGO is preferable.
  • Good knowledge, understanding and work experience in Pharmaceutical Information Management System, data flows, information analysis and reporting is essential.
  • A good knowledge of JFDA policies and procedure and guidelines is essential.
  • Training on BLS or ACLS with certified/membership; will be considered as added value.
  • The ability to interpret, adapt and apply guidelines and procedures.
  • The ability to communicate effectively, both orally and in writing.
  • The ability to work under pressure and with limited resources.
  • Strong interpersonal, team working, negotiation and leadership skills.
  • Strong organizational skills, ability to coordinate and manage a diverse array of responsibilities.
  • Flexibility. Proven team player with ability to cultivate and maintain good working relationships with colleagues and other organizations.
  • Ability to handle sensitive situations diplomatically with strong interpersonal and communication skills.
  • Proficient in computer applications, especially with MS Word, Excel, Power Point.
  • Excellent command in Arabic and English
