A registered non-profit in the US, UK, France and Belgium, our work targets those fragile countries or communities that suffer from recurrent man-made or natural crises that impede human development. The people that we serve live in seventeen countries across the Middle East, Africa, and Asia where the debilitating effects of political instability, forced displacement, and natural disasters are pervasive. Often, RI is the only organization providing healthcare, education, logistics, energy, capacity building, economic development, sanitation, and many other forms of assistance to these highly vulnerable communities.
Position Summary
The HR Coordinator, will be supporting with the end-to-end HR function in the country office including but not limited to: contracting, on-boarding, performance monitoring, full HR administration tasks including operation of HRIS, and documentation based on best practice standards and in compliance with the Government of Jordan (GOJ) labor law, RI policies and procedures, and donor regulations, and to support in maintaining a positive and productive work environment for RI’s human resources.
The HR Coordinator should be able to perform this job successfully with minimal supervision.
ESSENTIAL TASKS & RESPONSIBILITIES:
Personnel & Administration
- Work on fulfilling HR objectives for RI Country office.
- Ensure that employees’ files are always auditable as per RI standards and any relevant donors’ requirements.
- Regular coordination and follow up with other departments on required tasks and meetings.
- Follow up on all HR tasks and make sure they are completed accurately and on time, as per the policies and procedures of RI.
- Working on performance evaluations: to be submitted on time, properly filled, and signed, completed as per RI policies and providing monthly report on performance issues.
- Provide monthly report on any health insurance issues and follow up with RI WoS and RSO on health insurance forms, invoices and ex gracia balance.
- To be committed to the administrative Agreement requirements and provide up to date trackers for HRM.
- Supervising housekeeper and follow up with Operations on other requirements.
Recruitment
- Ensure a transparent, timely and efficient recruitment process and in compliance with RI’s policies and procedures.
- To ensure pre-employment requirements are submitted and open personnel file with full documentation according to HR checklist for new staff on a timely basis.
- Ensure all staff have undergone orientation and proper induction plan as per position.
Compensation and benefits
- Ensure the timely and efficient monthly payroll preparation for accurate data and within the agreed time frame.
- Supporting in preparing the indirect staff payments and making sure to share it with finance within the agreed time frame.
- Ensure all benefits are in place in accordance to the HR policy, and that all employees access information and benefits as they are entitled.
- Ensure the proper and accurate tracking of leave balance and attendance records.
- To act as the focal point of Social Security; to ensure additions of new staff and removing resigned/terminated staff on monthly basis, & updating salaries on annual basis.
Employee Relations
- Ensure the timely processing of new contract, contract extension, staff transfer, promotions and other changes of status and approvals of the required form.
- Follow up on required investigations, disciplinary actions, staff separation, and termination.
- Act as the Focal point with the health insurance company, and follow up on any concerns or issues raised by the staff.
- Providing trainings/refreshers needed to direct and indirect staff.
- Provide services to HR related inquiries and requests.
Accountability
- Ensure maintaining high confidentiality of information, at all times.
- Ensure that all allegations and breaches of policies by staff are reported.
Training
- Ensure RI Academy is up to date and trainings completed and uploaded on time.
- To deliver mandatory trainings for national staff and indirect staff and arrange with other departments such as protection, SG, security & accountability.
Internal and External Coordination
- Follow up to stay updated regarding relevant HR-related policy changes (internal – RI/ external – GOJ and/or donor).
- Engage in relevant HR forums for INGOs in Jordan, as needed.
- Implement field visits and follow up with the team on site.
- To act as the Focal point with HR RSO/GSO and their requirements from the CO.
- Follow up on HR agreements renewal and PRs, as HR system, recruitment and insurance.
Working Relationships
- Proactively engage with your supervisor and key staff (Program and Finance).
- To liaise and coordinate with supervisor on work-related matters, updates and seek advice.
- Perform other duties as assigned by the supervisor.
Representation
- Represent RI in a positive and professional manner to contribute to the creation of a positive image and overall credibility of the organization, notably through the application of RI's mandate, ethics, values and standpoint with regard to other actors.
- Share the humanitarian mission of the organization.

Qualifications and Requirements:
- Bachelor’s Degree required in a related field.
- Well Experienced (5+ years) in Human Resources Department.
- iNGO experience is preferred.
- Excellent communication skills, English & Arabic.
- Proficiency with Microsoft Office (Word, Excel, and PowerPoint).
- High degree of integrity, discretion, confidence, motivation, and resourcefulness.
- Ability to consistently manage competing priorities and deadlines.
- Excellent interpersonal skills, including patience, diplomacy, willingness to listen and respect for colleagues.
- Must be capable of working both individually and as part of a team.
- Ability to work effectively in a fast-paced, stressful environment.
