The World Food Programme (WFP) is the leading humanitarian organization saving lives and changing lives, delivering food assistance in emergencies and working with communities to improve nutrition and build resilience.  We are currently seeking to fill an intern position in the Global Logistics Cluster, based in Dubai, UAE.

BRIEF DESCRIPTION:

The World Food Programme (WFP) is the United Nations frontline humanitarian agency addressing hunger and malnutrition worldwide. Due to its expertise in the field of humanitarian transport logistics, WFP Global Fleet is the lead Unit supplying trucks and spare parts, enabling transportation activities support in our operations globally.

Comprised of a diverse, multi-skilled group of logisticians, information management officers, and other technical specialists, the Global Fleet (GF) core duties include as well technical support, evaluations, training of staff, preparedness, and the development of new tools and resources to benefit emergency humanitarian response operations.

The GF strongly believes in the power of internship opportunities. Intern(s) will have the opportunity to learn about one or more of the functional areas, shadow staff members to learn about their roles and responsibilities, possibly be deployed to support country operations, training implementations, events or other activities, as well as the duties described in this vacancy.

This internship opportunity will support the functional team of the procurement of GF.

The intern is expected to work on a full-time basis and based in Dubai Office GF.

DUTIES AND RESPONSIBILITIES:

Under the direct supervision of the Global Fleet Procurement officer the incumbent will:

  • Support in facilitating procurement of trucks, parts, associated equipment, and services liaising with suppliers and involved WFP stakeholders.
  • Update system records (e.g. order tracking) and communicate the updates to the respective internal requestors.
  • Assist raising Purchase Requisitions and Micro Purchase Orders for Global Fleet.
  • Assist the compiling specifications for tenders and or other procurement actions.
  • Support vendor management activities, including vendor creation, deletion, or related records modification.
  • Upon technical clearances by the GF Team, obtain quotes from the vendors (and internal funding details).
  • Collaborate with the vendors and WFP stakeholders on the freight and insurance modalities, including follow up with the requesting offices on the TE status and actual order dispatch and delivery.
  • Assist with the support and coordinate with the WFP Shipping and WFP Aviation in the timely delivery.
  • Assist with the update of the supplier’s database and new sourcing options (tires, parts, trucks).
  • Support cataloguing of country-specific requirements

QUALIFICATIONS AND EXPERIENCE

  • Currently enrolled with at least two years undergraduate studies completed, or recently graduated University course (within the past six months) from a business, engineering, management, science degree or related field.
  • University course attendance in the past 12 months.
  • The selected intern is not required to have professional working experience for participation in the internship programme though any academic and/or practical experience in humanitarian affairs, logistics and emergency preparedness is desirable.

KNOWLEDGE & SKILLS

  • Excellent written and verbal communications skills; high attention to detail and proofreading ability; good research and analytical skills. Ability to meet deadlines and work under pressure as part of a team; good communication skills; ability to work independently while asking questions and seeking support in a fast-paced work environment.
  • Proficient in MS Office package. Depending on the functional area needing support, specific skills and experience in areas such as knowledge management, information management, data analysis, IT programming, IT development, environmental sustainability, customer/client service, and facilitation may be an asset to the candidate.

WORKING LANGUAGES

  • Excellent written and spoken English is required (proficiency/level C).
  • Intermediate knowledge (level B) in French would be an asset.

SUPERVISION

The position will be supervised by a Global Fleet Procurement officer.

TRAINING COMPONENTS

Throughout their assignment WFP interns will have access and will be trained using GF operational platform for spare parts supply and for the trucks leasing, Also, he/she will have access to industry-leading personal development platform weLearn. Depending on opportunities and availability of funds, he/she may participate in WFP workshops or seminars, as appropriate.

LEARNING ELEMENTS

At the end of the assignment, the Intern should:

  • Understand the work of the Global Fleet procurement.
  • Understand the work of the specifics of the Global Fleet Service Provision
  • Have had the opportunity to shadow a staff member to learn about their roles and responsibilities.
  • Depending on context, may have had the opportunity to deploy to a training event, or other activity.
  • Have applied their knowledge and skills to benefit the work of the Global Fleet.

TERMS AND CONDITIONS:

  • Interns receive a monthly stipend from WFP up to the maximum amount of US$1000 per month.
  • WFP is not responsible for living expenses, arrangements for accommodation, necessary visas and related costs.
  • WFP will reimburse travel tickets for candidates who are nationals of developing countries and are pursuing their studies in their home country.
  • WFP will recognize candidates’ educational credentials from recognized institutions that have been certified by competent international or national authorities such as the United Nations Educational, Scientific and Cultural Organization (UNESCO) or Ministries of Education.
  • Candidates who bear any of the following relations to WFP staff members are not eligible to apply: sons, daughters, brothers or sisters.
