JOB PURPOSE
The Business Support Assistant (Aviation) reports to the Check-in Supervisor and/or Chief Air Transport Officer. The incumbent shall be responsible for performing effective and efficient tasks in booking reservations and customer service.
KEY ACCOUNTABILITIES (not all-inclusive)
- Handling and processing passengers check-in and their baggage
- As an average 100 passengers Check-in and handling their baggage on daily basis for the flights as per the established procedures.
- Convey and deliver documents between the aircraft and appropriate terminal authorities.
- Sorting and recording the monthly AURs (Aircraft Utilization Reports).
- Update the passengers by timely manner regarding flight information, and responding to their inquires when needed.
- Reporting the safety and security issues smoothly to the relevant colleagues or CATO/AMO/ATO.
- Coordination with the UNHAS AOCC (Air Operation Coordination Center) regarding any latest flight information;
- Coordination with the UNHAS Ramp/Fuel supervisors to report the actual and accurate figure of the passengers/luggage;
- Coordination with Cargo section for any passenger/Cargo extra luggage for the flight;
- Coordination and communication with the Booking and Customer Service Office regarding passengers booking.
- Communication with the relevant sections for any update and latest flight information in a timely manner.
- Coordination with Safety and Security team regarding passengers.
- Perform as flight monitor on UNHAS flights into security compromised locations where aviation security control is limited or not existing in order to conduct screening of passengers, luggage and cargo.
- Provide assistance and guidance to passengers and flight crew on all flights originating from the field stations where UNHAS has no personnel;
- Communicate with Air Operations Control Centre (AOCC) and Flight Following Centre while in the field, to provide both with all necessary operational information;
STANDARD MINIMUM QUALIFICATIONS
Education:
- High school diploma or equivalent.
Work Experience:
- A minimum of four (4) years of progressively responsible experience in the field of administrative/clerical services, logistics, accounting, check-in ,booking and customer services, human resources, or any other related fields. Experience in the United Nations system or other international organization is an advantage.
Skills and knowledges:
- Good computer skills with extensive experience in database programme, in word processing, spreadsheets, and other software application. Must have demonstrated excellent interpersonal, communications, organizational and service-oriented skills.
Languages:
- Working knowledge in written and oral English is required. Fluency in Dari or Pashtu is required
