HR Volunteer – Amman

Assignment

Supporting HR team in the administrational functions as delegated by the country HR Manager.

Functions

  1. Filing & Scanning :

The HR Volunteer shall be in charge of ensuring that there is an accurate and efficient filling system, in line with ACTED’s requirements, in hard and soft copy. H/She shall also be in charge of ensuring that the documentation flow between base and Capital offices is properly conducted.

In this regard, H/She shall put in place accurate folders (recruitment, CVs, contracts…) notably personal folders as follows:

  • Create personal folders for national staff.
  • Keep track and update the personnel file regularly.
  • Ensure all personnel files are well scanned.
  • Manage all exit files to be well stored and organized.
  • Ensure confidentiality of personal folders.

2. Follow up with the compliance department.

  • Work together with the compliance department to handle documents required for audits.
  • Assist the compliance department by providing any documents they need by coordinating with the HR team.
  • Make sure that all the documents are returned by the compliance department.

3. Work permits and residency & Visa:

  • Prepare official letters for Embassies & other relevant governmental offices for various purposes (Visa request, Work permit requests, bank signatories).
  • Coordinate with the lawyers for issuing work permits – when requested – which includes collecting all the needed documents, requesting a translation of documents & drafting official letters and at the same time arrange with staff to comply with requirements.

Upon request support HR team

The HR Volunteer might be requested to support in of support emergencies, high workload periods, or any specific situation that would require an unusual workload in HR department.

Skills

QUALIFICATIONS

· At least a Bachelor’s degree in Business Administration, Management or any other relevant field

· Previous experience in NGO/INGO is preferred

· Familiar with the governmental transactions & process.

· Excellent written and oral communication skills in English language.

· Work under pressure against strict deadlines

· Good organisational and prioritisation skills;

· Good Microsoft Office, Microsoft Excel

· Strong interpersonal skills.
