Position Summary:
The Project Officer/Incentive Based Volunteer will be responsible for all matters regarding the IBVs inside the Za’atari camp including the hiring procedures, contract renewals, experience letters, managing the IBVs data, answering inquiries and supporting in any received complaints. The Project Officer / IBV will make sure to work in compliance with BLUMONT HR policies and procedures.
Job Function/ Description:
- The Project Officer/IBVs works on implementation of BLUMONT HR policies and procedures and ensures that all HR activities are conducted in accordance with BLUMONT Rules and Regulations.
- Process, verify, and maintain documentation related to the IBVs hiring, personal files and information lists.
- Responsible to work and follow up on the full recruitment and selection process for the required IBVs in the Zaatari camp in compliance with UNHCR IBV SOP and Blumont internal policies and procedures.
- Be the focal point with UNHCR for any eligibility hiring checks, exception requests and any related IBVs matter.
- Responsible for the hiring arrangement for the selected IBVs within the organization including preparing contracts and maintaining files and documents.
- Manage and update the IBVs data lists and share reports on a monthly basis.
- Prepare the required experience letters in accordance with Blumont policies and procedures.
- Responsible for the Recruitment WhatsApp number responses for any received inquiries.
- Responsible for giving feedback and updating the inquiries list shared by the protection team for any related complaints or inquiries as well as attending IBVs hearing sessions.
- Responsible for following up on and verifying the IBVs monthly timesheets.
- Responsible for the preparing and calculating the monthly IBV stipends with all needed signed and approved documents and provide accurate reports.
- Responsible for updating the e-wallet data for the IBVs to receive their monthly stipends.
- Deliver Code of conduct and HR orientation sessions for new hires and as annual refreshers for the IBVs and regular Blumont employees.
- Follow up on the IBVs contract end date and actions required to avoid any gaps in filling the IBVs positions.
- Assist in printing, scanning and filing documents related to HR department, when needed.
- Assist in preparing official letters, MoMs, IBVs tracker sheets, IBVs status reports, and any other document, when needed.
- Support and monitor the implementation of the knowledge transfer process for all project IBVs positions in close coordination with program team
- Attending program weekly meetings and donor meetings.
- Actively participate and advocate for IBVs related topics in technical working groups such as Basic Needs Working group and any other related WGs/TFs.
- Other related duties as assigned by the direct supervisor.
Required Education & Experience:
- Bachelor degree in Business Administration or any related field with 1 year of experience in similar field
OR:
- Diploma in Business Administration or any related field with at least 2 years of experience in similar field.
