What will you do in this position?

You will implement well-defined standard logistics/supply chain processes and activities to enable effective delivery of goods and services for all delivery modalities.

In accordance with WFP policies, procedures and guidelines, you will perform business activities to support Country Office functions in Invoice Processing to deliver required services in order to ensure efficiency of unit performance.

How can you make a difference?

In this position, you will have to:

  • Provide support to logistics operations and activities, following standard processes and facilitating, directly or indirectly, the effective delivery of food assistance to beneficiaries.
  • Ensuring accurate and updated invoice tracking reports and registry. (Both Excel and Corporate Invoice Tracking System).
  • Update the Invoice tracking and report to management on invoice age analysis, outstanding payments, and other reports on vendor accounts. Ensure information accuracy in corporate systems in support of informed decision-making.
  • Verify invoices and supporting documents received from vendors in the local language.
  • Liaise with Vendors (Transport & Services) to resolve all queries related to the Invoice verification.
  • Ensure Vendors submit invoices to the central Finance registry & that is reflected in ITS.
  • Coordinate with the Logs Cluster to ensure confirmation of services delivered is received.
  • Work in close collaboration with Vendors (Transport & Services) to resolve all queries related to invoice verification.
  • Monitor and ensure vendors submit invoices to the central Finance registry & which is reflected in ITS.
  • Respond to technical queries/requests for support, following standard processes, and obtaining guidance as required, to ensure timely and accurate resolution of all inquiries with a high standard of a client service mindset.
  • Prepare account analysis & reconciliations when required.
  • Liaising with the finance unit on invoice payments and answering queries.
  • Support management of logistics vendors’ contracting activities, including performance monitoring and measurement, online filing, and documentation

Education: Secondary school education, preferably supplemented by technical or university courses in a field related to finance/accounting.

Experience: At least six years of progressively responsible experience in creditors and/or management accounting with account analysis. A higher education degree may compensate for some of the required experience.

Knowledge & Skills: We are looking for an experienced funds management associate for logistics unit with:
• Theoretical and practical understanding of Financial management including Payables, Treasury, аnd related business processes, such аs invoices, payments, аnd cash management.
• Good communication skills in order to respond and resolve general Finance queries.

Language: Proficient in oral and written communication skills in English and Ukraine.
