We are seeking to fill a Fixed-Term position of Tally Assistant G2, based in the Communications, Advocacy and Marketing Division of our Headquarters in Rome, Italy.

ORGANIZATIONAL CONTEXT

The Communications, Advocacy and Marketing Division, CAM enhances the impact of WFP's mission and work, and WFP's reputation and image through efficient and effective internal and external communication. The Division strives to provide immediate access to the documents, guidelines and information needed to communicate our mission effectively to the world.

JOB PURPOSE

The Merchandise team within the Creative, Content and Branding Unit, CAM is responsible for purchasing and dispatching a wide array of visibility items to RBs, COs and within HQ Divisions. The Tally Assistant, reporting directly to the Merchandise & Visibility Coordinator, will be responsible for supporting the reception of supplier orders into HQ, and the dispatch of merchandise to our WFP offices worldwide as well as the maintenance and stocking of all the visibility items in the two dedicated merchandise stock rooms located in the HQ basement area. The selected incumbent will assist in stacking and physical inventory activities to maximize accuracy and efficiency of merchandise management.

The selected candidate will be in constant contact with the WFP suppliers and couriers to receive planned deliveries to HQ.

KEY ACCOUNTABILITIES (not all-inclusive, nor exhaustive)

  1. Tally receipt/dispatch of commodities including transformation of commodities during internal milling operations, identify and report to the supervisor any anomalies, to support accurate and effective commodity management in the warehouse.
  2. Implement and maintain accurate stacking and assist in conducting periodic physical inventory checks following the established guidelines and standards, to support compliance with internal control procedures and systems.
  3. Prepare accurate tally reports including efficient preparation and distribution of tally sheets to relevant parties, to ensure consistent and prompt accountability for commodity movement from/to and storage in the warehouse.
  4. Supervise the warehouse cleaning after loading/unloading and reconstitution exercises, to ensure WFP warehouse meets the established standards.

SPECIFIC POST REQUIREMENTS (As required by the Hiring Manager)

Essential:

  • Experience supporting basic logistics activities such as warehousing, inventory and tallying.
  • Knowledge of simple machine operations and use of forklift.
  • Knowledge of safety precautions.
  • Experience interacting with internal and external parties.
  • Knowledge of MS Office (Word).

Desirable:

  • High sense of responsibility, punctuality and good attention to details.
  • Ability to work in a multicultural environment.
  • Ability to work in a team.
  • Ability to work in all weather conditions.

STANDARD MINIMUM QUALIFICATIONS AND EXPERIENCE

Education: Completion of secondary school education.

Language: Intermediate knowledge of the English language (level B) and Fluency (level C) in both oral and written communication in Italian.

Desired experience: Experience in conducting basic logistics activities (tallying).
