JOB PURPOSE

The Reports and Communications Associate will support the Cotabato Field Office in reporting and communicating on WFP activities in the Bangsamoro Autonomous Region in Muslim Mindanao (BARMM) region, with the goal to meet corporate and donor reporting requirements and to support advocacy efforts of WFP for its activities in BARMM. The Job holder will demonstrate responsibility and initiative to respond independently to queries with general guidance. The job holder will also collaborate closely with relevant colleagues, particularly the Programme and M&E colleagues in Cotabato Field Office.

The Job holder will also provide research and specialized communications services that support the creation of content and services aimed at maintaining and enhancing WFP’s visibility and reputation and supporting fundraising activities.

KEY ACCOUNTABILITIES/RESPONSIBILITIES (not all-inclusive, within delegated authority)

Under the direct supervision of WFP Head of Field Office, with functional guidance from the Head of Partnerships, Communications, and Reports (PCR) Unit or designate, the Reports and Communications Associate will be responsible for the following duties:

On Communications

  • Prepare advocacy materials for Cotabato Field Office, including factsheets, presentations, web articles and social media posts, to enhance coverage and support of WFP’s activities, ensuring consistency with corporate messages.
  • Conduct research, suggest ideas, and provide coordination to ensure the timely and effective delivery of video/film, photographic, infographics, radio spots, and other communications projects.
  • Manage the storage and distribution of audio/visual materials in accordance with relevant policies.
  • Organize and execute special events, working closely with colleagues, external partners and media, including but not limited to donor events, programmatic workshops and seminars.
  • Manage and maintain records and databases, such as journalist and media outlet contact lists, to ensure the information is accurate, organised and readily available for others to access.
  • Monitor traditional and social media output related to the Cotabato Sub office.
  • Ensure donor visibility is implemented in the field, in compliance with specific donor requirements.
  • Perform any other related duties and responsibilities as required under Communications.

On Reporting

  • Keep abreast of all developments in Cotabato Field Office operations to prepare appropriate reports, briefing and background notes, and other documentation as required.
  • Liaise closely with all Units in order to gather and collate accurate data about WFP operations in BARMM.
  • Consolidate and analyse data on programme implementation and indicators in order to facilitate the preparation of periodic reports, drafting relevant, concise and engaging content.
  • Prepare reports for Cotabato Field Office and/or inputs for Country Office reports, including country briefs and annual reports. Ensure quality of information, coherence and consistency across the reports.
  • Prepare donor reports, in compliance with specific donor requirements, verifying the coherence of reports with related project proposals and previous reports, as well ensuring the report is written accordingly to a result-based management approach.
  • Keep track of report due dates and work in collaboration with Cotabato Field Office and the Country Office to follow-up and ensure timely reporting.
  • Design and develop compelling data visualizations.
  • Prepare information and briefing documents as required for missions and visitors to BARMM.
  • Systematically document, case studies form the field, develop program process and impact factsheets, info-graphs.
  • Document and develop reports on workshops and meetings.
  • Perform any other related duties and responsibilities as required under Reporting.

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education. A specialization or University degree in communications, international relations, economics, or equivalent is preferred but not required.

Experience: A minimum of six (6) years of relevant work experience at the national level in providing communication packages to promote the activities of international development organizations. Knowledge of the UN system is an advantage; previous experience working in international development organizations would be an asset.

Knowledge & Skills:

  • Strong written and oral communication skills, including substantive analysis and writing skills.
  • Knowledge of, or the ability to quickly assimilate, UN/WFP-specific processes and systems.
  • Experience using computers and office software packages (MS Word, Excel, etc.).
  • Demonstrable skills in graphic design, especially experience with Adobe Creative Suite (especially InDesign and Photoshop) is an advantage.
  • Experience working in BARMM is preferred but not required

Language: Excellent spoken and written communication skills in English is required. Fluency in the local language of the region.
