Institutional Learning Department (ILD) Coordinator

1. Purpose of the Position:

Reporting to, guided and directed by the Senior Director, Programmes and Learning Department or such other staff member as directed by Senior Director, Programmes and Learning, the Institutional Learning Department Co-ordinator is actively involved in ILD projects by providing support in the areas of learning, competency development and trainings, quality assurance, and administration:

  • Support the development and deployment of the programmes quality assurance framework
  • Support the planning, tracking and filing of capacity building, competency development and testing sessions.
  • Support the development and deployment of organisational learning frameworks
  • Support trainings and facilitation delivery, development and tracking

Provide administrative support to the Senior Director, Programmes and Learning Department and the rest of the team in the planning and delivery of ILD activities and tasks.

2. Responsibilities:

Reporting to, guided and directed by the Senior Director, Programmes and Learning Department, the ILD Coordinator shall support the Senior Director, Programmes and Learning Department on:

Programmes Quality Assurance by:

  • Contributing to the development and implementation of the Quality Assurance Framework through assigned tasks.
  • Designing micro-studies and drafting impact evaluation briefs on selected programmes.
  • Taking part in HQ-level quality assurance activities and meetings; and documenting discussions to inform decision making.

Programmes Capacity Building, Competencies Development and Testing:

  • Lead on logistical planning and delivery of capacity building, competency development and testing sessions for PD and any required/requested support to other departments.
  • Collection and storing of monitoring data (datasets) for capacity building and development activities.
  • Filing of documents related to capacity building, competency development and testing sessions.

Learning:

  • Contributing to the development, deployment and maintenance of Learning Frameworks through assigned tasks.

Trainings and Facilitation Development:

  • Update and maintenance of GFP Training Calendar and Training Designs folder.
  • Support the design of training and session designs.
  • Support the consolidation and audit of training related materials.
  • Provide reader-friendly information and metrics on GFP Trainings (HQ-level, for volunteers, other external trainees) for different audiences.

Administration by:

  • Providing administrative support for ILD-led sessions for GFP staff and any other GFP events.
  • Document weekly co-ordination meetings and disseminate meeting minutes.
  • Upload CSAT/MEAL Unit tasks on agreed platform and other in-use platforms.
  • Any other related tasks and responsibilities that may be required.
  • Personal Learning:
  • As part of GFP/GFPI’s commitment to institutional learning, commit 10% of their time to learning activities that benefit GFP/GFPI as well as themselves

  • Programmes Quality Assurance: quality assurance frameworks supported within the Programmes Department through assigned tasks.
  • Programmes Capacity Building, Competencies Development and Testing: supported through the planning, tracking and filing of capacity building, competency development and testing sessions.
  • Learning: the development and deployment of organisational learning frameworks supported through assigned tasks.
  • Trainings and Facilitation Development: GFP training calendar and training designs folder updated and maintained; monthly, quarterly and yearly infographics and reader friendly briefs on GFP trainings developed.
  • Administration: administrative support to Director of Institutional Learning Department in the planning and delivery of activities and tasks provided.
  • Personal Learning: track-record of continuous personal learning, competency development and growth established.

5. Education, Qualifications, Competencies, Skills Required:

Essential:

  • Competency in the key areas for the position including Administration, Planning and Organisation, Learning (Critical and Creative Thinking), Communication, Research, Use of Technology for Diverse Purposes, Knowledge and Application, Learning Theory and Instructional Design
  • B.A Degree in a relevant discipline
  • At least one-year relevant professional experience
  • Experience volunteering in development / community work
  • Experience in learning, quality assurance, monitoring, evaluation and accountability
  • Experience in programme design and coordination
  • Experience in mentoring others
  • Excellent communications skills, both consensus development and interpersonal; confidence and enthusiasm when communicating internally and externally in both formal and informal presentations
  • Excellent spoken and written English and Arabic
  • Very good analytical skills
  • Technologically skilled (databases; documents; spread sheets; surveys; presentations)
  • Ability to analyse and deal with a huge amount of quantitative data
  • Ability to reflect, learn, and improve; having experience in using feedback processes for learning
  • Ability to perform in a high-energy environment, with a flexible and enthusiastic approach to work, including the thoughtfulness to work effectively with others in a collaborative workplace; a "can do" attitude, and a willingness to "roll-up sleeves" and personally handle all aspects of position
  • Ability to work in a multi-cultural team and context; having cultural sensitivity and understanding of different interpretations of communications approaches in different global, regional, and local contexts
  • Strong interest in global current affairs, conflict transformation and peacebuilding, and international development

Preferred:

  • Experience working internationally and in an international organisation
  • Experience working in the field of peacebuilding and conflict transformation
  • Demonstrated knowledge of different theories of conflict transformation and social change
  • Experience in community development and behaviour change
  • Experience working with different age-groups (children, youth, adults) in different contexts.
