Events & Birthdays Officer
Supervisory Duties:
• Prepare and implement the annual events plan for Visitors’ in support of the overall strategic objectives of the Museum.
• Plan, implement and supervise all internal and external events and birthdays as well as monitor schedules.
Work effectively and in collaboration with other departments on all events.
Event Sales Duties:
• Establish connections with potential clients as well as maintain ongoing relations with the current and previous clients.
• Explore new opportunities and possibilities and develop the events’ business arm.
• Become an active member of the hospitality and events planning industries, and pursue new market opportunities to increase sales.
• Meet with clients regularly, and often conduct tours of the events’ facilities.
• Provide accurate and timely information to clients, vendors, and meeting planners.
• Focus on improving customer satisfaction to create loyalty and deliver a positive event experience.
• Achieve sales targets in alignment with the Museum’s strategy.
Functional Duties (Event Management):
• Understand the client’s requirements for each event as well as plan events with attention to financial and time constraints.
• Research vendors (catering, decorators, musicians etc.) and choose the best combination of quality and cost.
• Negotiate with vendors to achieve the most favorable terms.
• Coordinate with other departments in allocating human resources to support events.
• Manage all events’ operations (preparing venue, invitations etc.)
• Develop the necessary checklists and communication materials as well conduct final checks at the day of the event (e.g. tables, technology and equipment) to ensure everything meets standards.
• Oversee events’ happenings and act quickly to resolve problems.
• Evaluate events’ success and submit reports.
• To handle enquiries and provide all needed information to visitors or callers relating to birthdays.
• To meet and coordinate with potential customers to discuss birthday details.
• To coordinate all the details of birthday parties such as reserving dates and providing food caterers for children’s meals.
• To organize and plan birthday preparations and ensure that the quality of the overall services meets the standards.
• To ensure that all birthday areas are equipped with the required tables, chairs, bars, coolers and other equipment incidental to the birthdays.
• To follow up on all needed logistics (decorations, volunteers…etc.)
• To follow up on payments for birthday parties.
Qualifications:
• A bachelor’s degree in hospitality management, Business Administration, or any related field.
• (2-5) Years of experience in a related field
• Excellent command of the English Language
