Scope and Objectives

The Kaizen Company is seeking a Receptionist to support the four-year USAID/Jordan Enhancing School Management and Planning (ESMP) Project. The ESMP Project objective is to improve the school management and planning process, and the quality of school environments in Jordan by enhancing the planning, oversight, operation, and maintenance capabilities of the Ministries of Education (MOE) and Public Works and Housing (MPWH). The scope of this project is to provide assessment expertise, technical assistance, capacity building, collaboration facilitation, and training to the MOE, MPWH, targeted stakeholders, and counterparts engaged in school management and planning to improve performance and sustain these improvements.

Kaizen will hire an entry-level Jordanian Receptionist with the following key responsibilities and required qualifications for the full-time position.

Position Summary

The Receptionist will provide logistical, administrative, and operational support for the Project. This position will report to the Finance and Operations Manager, and will be based in Amman, Jordan.

Expected responsibilities include:

  • Provide administrative support and assist with overall administration.
  • Welcome and direct all guests to the Project Office, monitor visitor entry and exit to program offices, maintain visitor records, and set appointments for project staff, as needed.
  • Answer the phone and monitor office communications.
  • Organize and maintain information and files, as needed, related to project functions and administration.
  • Provide general office management services, responding to requests and preparing correspondence as required.
  • Support the Finance and Operations Manager, as well as other team members, with administrative, financial, and logistical activities, as needed.

Qualifications

  • An university degree in business administration or other related discipline.
  • Minimum three to five years’ experience in administrative and/or financial management.
  • Proficiency with Microsoft Office suite (Word, Excel, Outlook, Power Point)/Google Sheets preferred.
  • Excellent organization skills, and strong verbal and written communication skills.
  • Ability to interface with a high degree of professionalism, adaptability, and organization.
  • Highly motivated team player and self-started, able to work respectfully and cooperatively with colleagues or different national and cultural backgrounds.
  • Be able to multi-task and operate in a fast-paced environment.
  • Attention to detail and accuracy, and willingness to learn is a must.
  • Prior experience working for USAID or other donor-funded development programs is preferred.
  • Fluency in English and Arabic.
