Job Title: Referral Assistant FSR # 408

Location: Amman with relocation outside per work needs

BACKGROUND

MAIN TASKS AND RESPONSIBILITIES:

  • Implement and monitor the application of Referral Policies: Ensure strict adherence to IMC Referral Policies by assisting in monitoring the entire referral process, ensuring compliance and desired outcomes at the field level.
  • Facilitate Proper Patient Referral Flow: Ensure a smooth flow of patients referred from IMC-supported primary health facilities to IMC-supported secondary & territory hospitals, minimizing delays and ensuring efficient coordination.
  • Patient and Relative Communication: Educate patients and their relatives on the referral policy, ensuring their understanding of the process and addressing any concerns or questions they may have.
  • Maintain Up-to-Date Contact Information: Regularly update the list of contacts and services provided by each referral hospital through visits and phone calls, ensuring accurate and current information.
  • Streamline Admission Procedures: Assist in the admission procedures for referred patients, addressing any issues that may arise and providing ongoing follow-up during their stay in the referral hospital to ensure they receive high-quality care.
  • Ensure Discharge of Liability: Verify that all referred patients have signed and understood the discharge of liability before their referral, maintaining proper documentation.
  • Coordinate Between Facilities: Act as a liaison between primary health facilities and referral hospitals, facilitating effective communication and ensuring a seamless referral process.
  • Track Referrals and Document Patient Safety: Maintain thorough tracking and appropriate documentation of referrals, prioritizing patient safety and ensuring accurate records.
  • Collect and Share Patient Data: Ensure proper data collection of referred patients, sharing their progress and outcomes with the senior referral officer, contributing to comprehensive reporting.
  • Flexibility and Adaptability: Due to the mission's nature, be prepared to handle additional tasks and responsibilities as required to maintain the mission's functionality and prioritize patient well-being.
  • Prepare and Share Reports: Generate a weekly report detailing all field visits, providing an overview of the on-ground referrals.
  • Timely Problem Reporting: Report any issues or challenges promptly to the senior referral officer, enabling timely resolution and maintaining smooth operations.
  • Assist with Documentation: Support in documenting settled invoices for MOH hospitals, facilitating accurate record-keeping.
  • Collaborate with senior Referral Officer and Financial Services: Collaborate with the senior referral officer to ensure compliance with prior approval requirements and provide necessary medical information to financial services for optimal reimbursement to involved parties.
  • Obtain Patient Consent: Communicate effectively with patients to obtain their informed consent for referrals, ensuring they fully understand the process, purpose, and potential outcomes. Maintain clear and accurate documentation of consent for each referred case, following ethical and legal guidelines.
  • Perform Assigned Duties: Execute any additional duties assigned by the supervisor, contributing to the overall success of the referral coordination process.

Minimum Requirements:

  • At least two years of total experience
  • Diploma in a Medical Field or Related Discipline: Possession of a diploma in a medical field or a related discipline provides the necessary foundation for understanding medical terminology, procedures, and protocols.
  • At least two years of total experience
  • Strong Organizational and Communication Skills: Emphasize the importance of strong organizational and communication skills to effectively coordinate referrals, manage documentation, and interact with various stakeholders.
  • Proficient in Computer Software: Specify proficiency in computer software, particularly Microsoft Office applications such as Outlook, Word, and Excel, as these tools are commonly used in healthcare settings for communication and data management.
  • Independent and Proactive Attitude: Highlight the ability to work autonomously and independently, demonstrating a proactive approach to problem-solving and taking initiative to ensure smooth referral processes.
  • Commitment to Ethics and Confidentiality: Emphasize the importance of respecting and applying ethical standards and maintaining patient confidentiality, reinforcing the candidate's understanding of the sensitive nature of medical information.
  • Professionalism and Courteous Behavior: Emphasize the requirement for courteous, honest, and professional conduct when interacting with patients, physicians, and other clinical staff, reflecting the importance of maintaining a positive and respectful work environment.
  • Strong Interpersonal Skills: Highlight the ability to communicate effectively and build relationships with physicians and other clinical staff, emphasizing the importance of collaborative teamwork and effective communication in healthcare settings.
  • Alignment with IMC Charter and Values: Emphasize the need for candidates to understand and align with the charter and values of the organization, underscoring their commitment to the mission and goals of IMC.
  • Proficiency in English: Specify a good level of proficiency in English for both written and verbal communication, as English is often the primary language used in medical documentation and communication.

  • Support of referrals:
    • Ensure that the hospitals/medical facilities where patients are referred have the minimum quality standard accepted by IMC.
    • Follow closely the referred patients (through personal visits or phone calls)
    • Do a proper follow-up of each patient referred and register the outcome in the designated document.
  • Establish professional relationships with medical providers and medical facilities in the covered area and keep an updated portfolio with all services provided + possible costs. Keep professional communication ongoing to ensure quality patient care, acceptance and admission of the patients and smooth referrals. All new medical facilities of use for the operations are visited and portfolio updated.
  • Always maintain patient confidentiality; this applies to patients referred,
  • Coordinate with referral staff for any new referral request including providing medical reports and any other documentary or needed information.
  • Provide the referral staff with any required medical reports, investigation results and progress notes.
  • Daily follow up for admitted cases and update referral doctors accordingly.
  • Coordinate and help the referred patients to facilitate the admission process and receiving the needed medical service.
  • Make sure to handle any issues may face the admitted patient.
  • Perform any other duties requested by IMC
