BACKGROUND AND PURPOSE OF THE ASSIGNMENT:
The job holder reports to Admin Officer(Facility Travel Fleet) or the designate. At this level, the job holder is expected to take responsibility to support the Country Office Fleet Operations, Fleet Management system Reporting and Car Pooling Projects.
ACCOUNTABILITIES/RESPONSIBILITIES (not all inclusive):
Within the assigned unit and delegated authority, the Fleet Assistant will be responsible for the following duties:
- Provide technical assistance in WFP vehicle fleet management including vehicle insurance and vehicle database operation;
- Organize timely and efficient maintenance of WFP vehicles; Check vehicle technical readiness for operation including insurance documents and drivers;
- Establish and maintain monitoring and control systems for all spare parts, lubricants, consumables and tyres issued and their proper utilization;
- Record all works carried out related to WFP vehicles;
- Monitor budget allocations for WFP fleet management purposes;
- Maintain liaison with Field Offices and service providers/suppliers with respect to the status of procurement, delivery, financial and insurance matters;
- Verify accuracy and completeness of all invoices;
- Collect and analyze all financial data and enter/ensure that it is entered correctly in WFP corporate system(s); Report discrepancies and irregularities to the supervisor;
- Prepare monthly/quarterly/annual reports as required;
- Maintain safe and clean workshop(s) and proper use of WFP vehicles and other related equipment;
- Provide supervision, training and guidance for drivers as required;
Perform other related duties as required.

QUALIFICATIONS & EXPERIENCE REQUIRED:
Education: |
Completion of secondary school education. A post-secondary certificate in the related functional area is desirable. Completion of Bachelor’s Degree is a plus. |
Experience: |
At least five years of progressively responsible experience in commercial and light vehicle fleet management support or progressively responsible experience as senior mechanic in a workshop. |
Technical Knowledge & Skills: |
Specialised knowledge of the application of practical methods, techniques, procedures and systems used in administration, typically gained through technical training and work experience. Broad knowledge and understanding of administration, and procedures. Supervision of AVs/Soft skin and drivers as per WFP standards and procedures. Training and experience of all daily activities related to administration of office/accommodation and maintaining of proper record as per WFP standard procedures. Ability to manage and facilitation of staff requirements as per WFP standards and procedures. Excellent communication skills to maintain frequent correspondence with both, internal staff and relevant external vendors. Willingness to gain knowledge and comply with the WFP standards. Excellent report writing and monthly submission to the supervisor and coordination with the FO/CO. |
Languages: |
