BACKGROUND
As the nature of work is evolving and new opportunities for collaboration with UN agencies, international organizations, and donors are emerging, the workload of the Management Office has increased significantly. To ensure optimal benefits of these efforts, it has become necessary to establish an efficient mechanism for tracking and following up on various activities. Therefore, there is the need to hire a qualified individual to support the Country Director and Deputy Country Director or their delegate in delivering WFP programs and activities in Jordan CO.
The primary responsibility of this position is to assist the Management Office in managing multiple engagements and preparing high-level correspondences and reports with stakeholders. The role requires a high level of coordination, communication, and organizational skills to ensure that all activities are aligned with our objectives and deliverables.
JOB PURPOSE
Job holders are likely to be working under the supervision of the Country Director or his delegate. With minimum supervision, the holder will support the CO Senior Management (CD and DCD) to effectively deliver WFP programs and activities in Jordan CO by managing the organization of Office activities and its multiple engagements, preparing reporting and high-level correspondences with Donors, Government Officials and WFP Senior Leadership.
KEY ACCOUNTABILITIES (not all-inclusive)
Within the delegated authority, the Coordination & Reporting Officer will be responsible for the following duties:
1- Ensure prioritized and coherent overview of critical and strategic activities enabling efficient and effective management of partnerships with defined donors and counterparts.
2- Maintain contextual progress of the implementation of the strategy for the Senior Management on all activities related to donors’ relations portfolio.
3- Manage donors request on WFP programs, develop frequent donors’ briefings, support bilateral meeting, interim and final reports, and support field missions.
4- Oversee collaborative engagement with relevant partners in WFP COs, RBs, and HQ with regards to following up on issues and priorities and decision making for the CO senior management
5- Maintain and coordinate the meetings with inter-agency, government for the CO Senior Management ensuring continuity of implementation for critical actions
6- Coordinate the internal relation, close linkage, and information sharing for the CO Management with CO functional divisions to facilitate decision and consistent messaging.
7- Responsible of coordination of inputs and information management across the units and filed office of the Country Office.
8- Responsible of the development of background documents, talking points, briefs for the Senior Management.
9- Responsible of the development of correspondences, notes-to-file, notes-for-records, speeches, report and presentations to support the CO Senior Management in high-level engagement related to Jordan CO.
10- Coordinate and priorities’ the logistical organization of the offices’ activities and engagements, ensuring adequate communications and alignment by all internal offices.
11- Supervision of technical assistants, if applicable
STANDARD MINIMUM QUALIFICATIONS
Education & Experience: Advanced university degree in Political Science, International Development, Economic Development, Marketing Communication or other relevant field, with minimum 3 years of postgraduate professional experience related to relief or development environment OR First University degree with minimum 5 years of professional related work experience.
Languages: Fluency (level C) in English language (read and write) and in the Arabic (duty station’s language)
Knowledge & Skills:
• Excellent strategic thinking, formulation and writing skills
• Excellent listening skills and capacity to translate oral inputs into compelling written rationale
• Knowledge of resource mobilization work and delivery of activities.
• Good analytical skills. Ability to compile, compare and analyze data.
• Demonstrated capacity to draft high-quality proposals and reports.
• Good synthesis skills. Demonstrated capacity to draft comprehensive and actionable minutes.
• Experience in negotiation with donors, Government, and external counterparts in line with internal policies and context-specific considerations.
• Experience in drafting resourcing analyses and collaborating with different CO units to elaborate accurate and timely briefs and reports for internal and external audiences.
• Good command of project management and capacity to organize multiple office activities under tight deadlines.
• Excellent communication skills, ability to give and receive information, and work with a variety of individuals.
