JOB PURPOSE
Retail Field Operation Coordinator will ensure that WFP contracted retailers are compliant with retail SOPs so that the overall shopping experience is standardized and improving. Operation Coordinator will conduct research and analyses workflow processes to improve business procedures. An Operations Coordinator will review reconciliation and create reports to propose plans and processes to improve the unit and retail partner’s bottom line. Operation Coordinator include performing statistical analysis, assessing the market environment, and supervising retail operation assistants and retail partner performance. Additionally, will support digitization of retail operation where needed.
KEY ACCOUNTABILITIES (not all-inclusive)
1. Supervise a team of SC Retail assistants in their duties of reporting and improving retail operations and performance. Monitoring and evaluating retailer performance RPME to verify contractual compliance and ensure that:
• Retailers guarantee the presence of the essential needs items at all times within the contract period.
• Retailers warrant that price in their stores are at or below market prevailing prices.
• Retailers warrant that the food in their stores is of good quality and safe for human consumption.
• Retailers guarantee that beneficiaries have access to fair services and that they are treated with respect and consideration.
• Retailers guarantee compliance with other WFP contractual obligations. Daily Noncompliance Tracker.
• Chair monthly retailer performance meeting review to guarantee operation improvement from retailers.
2. Lead and conduct the RPME exercise; present RPME results to CWG; capacity strengthening activities.
3. Propose to Retail head and procurement, series of sanctions to retailers (if necessary) in case of serious noncompliance or lack of improvement.
4. Coordinate in selection and contracting of retailers
5. Leverage data analytics to analyse beneficiary shopping patterns to improve product availability, in-store operations, and negotiations with retailers. Member and Alternate to chair the Monthly price negotiation committee.
6. Provide training to local retailers on various topics such as negotiation, assortment planning, demand forecasting, and more.
7. Lead the Transfer reconciliations and coordinate retail payments.
8. Assist in Market Functionality & feasibility assessment, efficiency analyses, Market Assessment Analysis (MSA) and programme effectiveness for selection of CBT modalities.
9. Oversee management of retail outlets, includes onboarding of retailers
10. Assist in Oversights and Internal controls
11. Oversee management of retail outlets
12. Liaise with CO, CBT & Markets team in RBB & HQ to get help / support when necessary.
13. Any other task given by the SC CBT & Markets management team.
STANDARD MINIMUM QUALIFICATIONS
EDUCATION: Advanced University degree in Management, Commerce, Economics, Statistics, Design, Business Management, Social Sciences or other relevant field.
WORK EXPERIENCE: At least three to four years of professional experience in a relevant field of work, with a background and interest in international humanitarian development.
Language : English language. Intermediate knowledge (level B) of a second official UN language: Arabic, Chinese, French, Russian, Spanish, and/or WFP’s working language, Portuguese.
OTHER SPECIFIC JOB REQUIREMENTS
- General knowledge of information management best practices, techniques, and processes with some understanding of the basic theoretical background.
- Shop management, Supplier management & Operation management
- Strong written and oral communication skills, including substantive analysis and report writing skills.
- Knowledge of, or the ability to quickly assimilate, UN/WFP specific processes and systems.
- Interpersonal skills, analytical skill, consistency in advice and follow-up, ability to work with diverse teams, capability to provide sound advice and independent ability to facilitate coordinated planning and subsequent follow-up on implementation and reporting.
- Ability to work in a team, flexibility in accepting work assignments outside normal desk description.
