Ignite Officer
The Ignite Officer will be located at one of the cross-Jordan vocational training Institutes (VTI) under the Project. S/he will play a crucial support role in ensuring the Project’s obligations to its partnership with the Vocational Training Corporation and the inter-institute operations are coherent and aligned. The main duty of the Ignite office is to support the Ignite Program Director in the daily operations of the Vocational Institute. The Ignite officer shall report to the Ignite Program Director with frequent and direct interaction with the Institute Director. The role also involves joint work and frequent interaction with all other resources at the Institute, Project’s head-based representatives and outside officials as required.
GENERAL DUTIES AND RESPONSIBILITIES:
- Lead and support the implementation of the Projects daily operations in the related Vocational Training Institute.
- Establish results-oriented, two-way communication channels between the Ignite Program Director and resources at the institute level, in addition to external groups (as relevant and requested), to promote, upgrade and strengthen standardized process across all areas and ensure appropriate coordination and information exchange.
- Build strong partnership and interaction with local industry and addressing their needs.
- Ability to extend bridges with local community and address their concerns.
- Contribute to the development and maintenance of effective operational framework, appropriate guidelines and forward-looking coordination plans between the Project and Institute resources.
- Debrief on daily basis the Ignite Program Director on issues relating to Project’s daily operations in the Institutes.
- Follow-up trainees enrollment, drop-off, absence, on-job training, completion and other related matters and maintain proper up-to-date records.
- Follow up and keep updated records with respect to expenses and ensure alignment with the budgets and financial constraints.
- Follow up implementation of third parties’ services in the Institute and recommend suspension or renewal of services by due dates.
- Monitoring and organize operation related to the warehouses including the receipt, documentation, storage and safety of equipment, materials and supplies in the warehouses and maintenance of inventory.
- Monitoring the warehouse officer, Store Attendant responsibilities in terms of: (Receive, unpack, pack, store and deliver equipment, materials, supplies on behalf of the Project into the Institute warehouses as assigned).
- Maintain proper logs and records with respect to equipment, tools and raw materials at the Institute warehouses and prepare reports as required in coordinate with warehouse team.
- In coordination and conjunction with the relevant departments/divisions, to develop proper mechanism to manage, control and supervise the release of stock/reserved materials at the Institute warehouses in accordance with the adopted procedures and against signed and release requests.
- Assess emerging assistance needed in the Institute and report mapping of emergencies back to the Ignite Program Director’s attention for guidance and instructions.
- Identify and bring infrastructure and training gaps in the Institute to the attention of the Ignite Program Directors and assist in the development of related reports, budget, plans and follow up.
- Follow up the implementation of Project’s activities addressing identified gaps and needed fixes in the Institute on behalf of the Ignite Program Director and issue reports as instructed.
- Identify technical issues and recommend supportive actions as necessary to resolve issues as they arise.
- Identify Institute key resources required to complete tasks and coordinate their participation with the Institute Director in line with the Ignite Program Director instructions.
- Follow up with the Institute Director matters related to the Human Resources and escalate issues as appropriate.
- Support and facilitate adherence to standards and procedures and monitor compliance.
- Support the coordination meetings including preparation, drafting of minutes and follow up documentation and actions against decisions.
- Support the Ignite Program Director on the preparation of presentations, reports and data sheets for missions and high-level meetings, as appropriate.
· Work on specific tasks including research, statistical and other analytical support required for the Project assessment objectives.
- Perform other assigned tasks within the overall scope of his/her role as requested.
SKILLS, KNOWLEDGE AND EXPERIENCE:
- Established management experience in leading teams towards achieving goals and objectives.
- Up to (10) years’ professional experience preferable in areas related to vocational training and education.
- Relevant educational University degree or equivalent.
- Strong organizational skills and a high level of attention to detail.
- Strong communication, administration and coordination skills.
- Excellent verbal, interpersonal and written communication skills.
- Digital literacy and proficiency in the using needed computer programs and MS Office.
- Strong time management skills.
- Ability to manage and prioritize multiple tasks.
- Ability to learn and work independently.
