Human Resource Assistant – Maternity Cover (National)
The Opportunity
The HR Assistant will be working mainly in communication with the Syria Response Office in terms of reporting and getting approvals for the NES documents. The HR Assistant will be working on HRIS and also in recruitment other HR tasks.
SCOPE OF ROLE:
Reports Direct: Senior Finance Manager
Staff reporting to this post: Finance Assistant
Budget Responsibilities: NA
KEY AREAS OF ACCOUNTABILITY:
* Communication:
o Communicate with the HR team in the SRO Office
o Collect documents from all NES Area Offices and send it to SRO for approval
o Develop and update the tracker of approved documents
o Send the approved documents to the relevant people and advise on the next step
o Communication with all NES Area Offices regarding SRO documents
* Recruitment:
o Advertise positions in NES all offices, SRO, CCCs, vocational centers
o Advertise positions within the website of NES INGO vacancies
o Collect CVs of hard copies from CV boxes in different location and classify them
o Collect CVs of soft copies from the applications email and classify them
o Work on longlisting for positions of Assistant level
o Send invitations to candidates for interview arrangements
o Participate in the interviews for national staff for Assistant level, volunteer and casual worker
o Send reference checks
o Prepare recruitment forms like offer letter, pay rationals and others
o Send regret letters to unsuccessful candidates
* HR Information System (HRIS):
o Update the HRIS in coordination with the HR Officer
* Filing:
o Update and maintain recruitment files in both hard and soft copies
o Update and maintain Personnel files in both hard and soft copies
o Maintain the training files with attendance lists in both hard and soft copies
o Collect time sheets on monthly basis and ensure to have them submitted to Finance
o Work on scanning and printing all HR related documents
* Other tasks:
o Coordinate with other department for preparing induction schedule for both national and international staff
o Maintain confidentiality of all HR decisions, issues and records
Mangaing the Nursery Faciliators, meeting with them and respond to their concerns or needs
QUALIFICATIONS AND EXPERIENCE
* University graduate or student.
* One year experience in an HR, Administration or any other related position
* 6 months experience working in Filing, tracking documents in the HR or Admin field
* Strong communication skills and ability to deal with different people.
* Very good verbal and written English skills.
* Computer literate (including working knowledge of Microsoft Office) and ability to do internet based research
* Excellent attention to detail, organisational skills and discretion with confidential information
* Ability to work independently and proactively
* Proven ability to handle challenging work load
Desirable:
Previous experience with INGOs
