Executive Secretary (GM Executive Assistant)

The ideal candidate for this position will excel if she can keep her calm in a high-pressure environment coordinating the logistics of the Chairman, and GM of the company. The candidate should have some relevant experience to the role that highlights their capability to conduct all administrative work, making sure the GM's operations run smoothly. Thus, the candidate should be detail oriented and a creative problem solver.

Responsibilities

  • She will be reported directly to the General Manager.
  • She needs to maintain the control workflow.
  • She should Handle all logistics of Chairman, and GM related Interact with leadership, internally and externally
  • She has to answer phone calls and redirect them as & when necessary.
  • Prepare and disseminating correspondence, memos, and forms.
  • Undertake receptionist duties Develop and maintain a filing system.
  • Check frequently the levels of office supplies and place appropriate orders.
  • Support and facilitate the completion of regular reports.
  • Develop and maintain a filing system.
  • Make travel arrangements.
  • Maintain Good Housekeeping & Pantry Functions.
  • Manage the daily/weekly/monthly agenda for the GM and arrange new meetings and appointments.
  • File and update contact information of employees, customers and all related business firms.
  • Clerical and administrative support to other team members in order to optimize workflow procedures in the company.
  • Assist colleagues and executives by supporting them with planning and distributing information.
  • Maintain document expenses and hand in reports.
  • Other duties as assigned

المهارات

Qualifications

  • Bachelor's degree or (Major of Accounting is preferable).
  • 3-5 years of experience.
  • Gender: Female only eligible.
  • For UAE nationals; bilingual candidates are welcomed.
  • For Arabian nationalities; bilingual candidates with transferable UAE ID are welcomed.
  • For Non-Arabic Nationalities; Nationals of Philippines, Pakistan, Indonesia, Vietnam, and Turkey are welcomed.
  • Having a driving license is preferable.
  • Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
  • Excellent command in speaking, reading, listening, and writing English.
  • Communication skills, written/verbal.
  • Ability to prioritize and meet deadlines Keep information confidential.
