ORGANIZATIONAL CONTEXT
The United Nations Humanitarian Response Depot (UNHRD) is an emergency preparedness and response tool for WFP and the wider humanitarian community. The mandate of the UNHRD Network is to assist the population living in countries affected by natural disasters or complex emergencies, through a prepositioning of relief and survival items and their rapid mobilization to the affected countries, on behalf of UN humanitarian agencies, governments, and intergovernmental and non-governmental organizations. UNHRD manages five (5) strategically located hub worldwide (Panama, Ghana, Italy, Malaysia, and UAE), and holds stockpiles of emergency relief items and support equipment, including WFP corporate response stocks, currently valued at USD50m.
JOB PURPOSE
JOB TITLE: Business Support Assistant

DUTY STATION (City, Country): Dubai, UAE
DURATION: 12 Months with a possibility of extension
SALARY: Salary starts from AED 13,710.89 per month plus medical insurance.
UNHRD is undergoing a strategic shift and requires administrative support at the network level.
The Business Support Assistant will report to Supply Chain Officer in the Network Coordination Cell and will be expected to deliver a range of routine business support tasks to ensure that the defined workstreams managed at the network level are effectively supported. The selected incumbent will provide support in the following tasks, including, but not limited to; project reporting, knowledge management, including coordination of internal and external websites, as well as administrative support to the Network Coordinator as well as support for internal meetings and workshops held with partner organizations.
The Business Support Assistant will be expected to produce accurate and organized work and have good client orientation, teamwork, and communication (verbal and written) skills to provide effective support to a wide range of individuals.
KEY ACCOUNTABILITIES (not all-inclusive)
- Gather information with clear direction to support the drafting of documents and preparing reports by other staff.
- Respond to queries and escalate where appropriate, to provide a timely and accurate service to clients.
- Support processing and managing routine administrative and financial tasks in various functional areas, to contribute to the effective and timely management of resources.
- Provide revision and proof-reading services for standard documents, to contribute to the development of accurate documentation.
- Take responsibility for the maintenance of set standard systems and files, to ensure information is accurate and readily available for the function
- Identify simple discrepancies in statistics and data, such as missing information, and report to senior staff in order to support clients to deliver their work.
- Take responsibility for data integrity to facilitate availability of accurate information in corporate systems.
- Provide guidance on routine business support methods and practices to junior colleagues to ensure services are delivered consistently and to the required standards.
- Work with a variety of individuals, taking on feedback where appropriate to assist in business support delivery for staff.
STANDARD MINIMUM QUALIFICATIONS
Education: Completion of secondary school education.
Experience: Four or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.
Language: Working knowledge (proficiency/FAO level C) of English.
Knowledge & Skills:
- Proficient in the use of office equipment and computer software packages, such as Microsoft Word.
- Knowledge of work routines and methods to complete processes under minimal supervision.
- Uses tact and courtesy to give and receive information to a wide range of individuals.
- Ability to identify data discrepancies and rectify problems requiring attention.
- Ability to offer guidance or basic on-the-job training to more junior staff
