Background and Purpose of the Assignment
Assisting almost 100 million people in 83 countries each year, WFP is the leading humanitarian organization saving lives and changing lives, delivering food assistance in emergencies, and working with communities to improve nutrition and build resilience. WFP’s response to emergencies – saving lives and livelihoods either through direct assistance, or by strengthening country capacities – remains at the heart of its operations, especially as humanitarian needs become increasingly complex and protracted, such as those brought about by the COVID-19 pandemic.
Through its emergency and development activities, WFP has provided assistance in Liberia since 1968 and through its five-year Country Strategic Plan (2018-2023), supports social and productive safety nets, capacity strengthening, and emergency preparedness and response. WFP aims to provide safety nets to strengthen food and nutrition security through school feeding and social protection measures, and assists in strengthening the national capacity of Liberia to own and implement hunger solutions.
This position is in the WFP Liberia Country Office under the Health Supply Chain unit. The LOGISTICS ASSISTANT- TRACKING SYSTEM will support the launch and implementation of a bilateral service provision operation in Liberia. This is a nationwide, high-profile operation and in line with key global initiatives such as ’The Grand Bargain’, ’Delivering as One’ and the ’SDG 17 Partnership for the Goals’. The service will be funded by the Global Fund under the Global Fund to fight AIDS, Tuberculosis and Malaria (GFATM) on behalf of the Ministry of Health.
The Global Fund is a major investor in the health sector in Liberia and will be taking over the responsibility involving medicines and other health product delivery in support of the Ministry of Health in Liberia. The Global Fund identified WFP as the supply chain partner for a role of 4PL and provision of long haul and last mile transport services of medicines and health supplies across the country in support of the Ministry of Health of Liberia.
WFP will be in charge of overseeing and managing the long-haul transport and last-mile delivery of pharmaceutical products in support of the Ministry of Health’s in-country health supply chain, and will support any related capacity-strengthening initiatives with a view to meeting the project objectives and all aspects of the scope of work.
The LOGISTICS ASSISTANT – TRACKING SYSTEM will report to the WFP Health Supply Chain Manager.
What will you do in this position?
- Support operations through data management and commodity accounting, daily data collection and tracking in country, to ensure daily updates and accuracy of the tracking system (RITA).
- Provide support to logistics operations and activities following standard processes and facilitating, directly or indirectly, the effective delivery of medicines and other health products.
- Support timely response to request for ordering and delivery of medicines and heath supplies to authorized partners and destinations.
- Ensuring that all data and reports for all aspects of the project are maintained.
- Support in preparing regular status reports to be shared to all implicated partners (WFP management, CMS, Global Fund and Ministry of Health).
- Contribute to updating the dashboard with keys indicators on the status of deliveries of medicines and other health products to the different destinations.
- Establish the daily reporting system in coordination with field locations, and manage the implementation of the mobile devices (if any).
- Ensure on-line availability of the system and regular reporting to clients.
- Provide a weekly update, including accurate delivery figures and narrative highlights.
- Assist in verifying transport invoices and transport documents.
- Establish daily backup procedure, in close liaison with IT.
- Establish the historical recording and centralise the filing of the electronic copies and the original transport documents.
- Maintain an appropriate filing system and archiving of documents so that they can be retrieved quickly and efficiently as needed
- Perform other related functions as required.

Education:
Completion of secondary school education. A post-secondary certificate in the related functional area with additional years of related work experience and/or trainings/courses.
Experience & Knowledge:
Three or more years of progressive work experience in a relevant field of work.
- Experience in data tracking tools.
- Ability to meet deadlines and work under pressure as part of a team.
- Excellent data presentation skills.
- Ability to collate, analyse data and drafting reports.
- Knowledge of logistics operations (experience working in health sector is considered as an advantage).
- Experience in data tracking tools.
- General understanding of logistics and supply chain processes.
- Good knowledge of Microsoft Windows, MS Excel, MS Word, MS PowerPoint and other related software.
- A high sense of confidentiality.
Language: Fluency (level C) in English language.
