ABOUT WFP

The World Food Programme (WFP) is the leading humanitarian organization saving lives and changing lives, delivering food assistance in emergencies and working with communities to improve nutrition and build resilience. We are currently seeking to fill a national intern position with Supply Chain Unit to be based in Maputo, Mozambique.

STANDARD MINIMUM QUALIFICATIONS

  • Currently enrolled and have attended University courses in the last 12 months inclusive of having completed at least two years of graduate studies or have recently graduated in the last 6 months in Business Administration, Statistics, Finance, Economics, or equivalent areas of studies.
  • Proficiency in MS Office (Word, Excel, Power Point, Outlook).
  • Knowledge of any accounts management tools will be an advantage.
  • Fluent in Portuguese and English.

JOB PURPOSE

Mozambique is a country vulnerable to adverse weather. Drought, cyclones, floods, and violence over the past years have left at least 2.5 million people in urgent need of humanitarian assistance across the country. A year on from Cyclone Idai and Kenneth, over 100,000 displaced people are still living in temporary sites across six provinces. In Cabo Delgado, thousands of people have been displaced by insecurity and are living in overcrowded conditions in host communities.

WFP’s country strategic plan (2022–2026) focuses on adding value to the national zero hunger agenda and prioritizes support for government programmes and institutions, while supporting long-term resilience and work to address the underlying causes of food insecurity and malnutrition.

To enforce the Country Office Logistics service capacities, WFP Supply Chain requires support of a Business Support Assistant (Logistics invoicing process).

KEY ACCOUNTABILITIES (not all-inclusive)

Under the direct supervision of the Supply Chain Officer, NOB, the incubent will perform the following duties:

  • General administrative and some specialised accounting processes in support to the invoice process services.
  • Assist with the petty cash process including distribution and collection of documentation, keeping records, reconciling invoices and flagging discrepancies appropriately.
  • Monitor any discrepancies in payment claims, verify rates and record any recoveries.
  • Assist preparing invoice payment reports to be presented to senior management.
  • Track all payment claims and follow up on returns/deductions .
  • Liaise with internal and external clients about payments, refunds and statements.
  • Ensure that all internal and external clients receive respective invoice payment statements on time.
  • Ensure accuracy of financial statements, making sure that the final figures on statements are correct.
  • Undertake standard data entry tasks in accordance with defined systems, to ensure information is organised and readily available for the business team.
  • Assist with the accurate uploading of journals, service invoices to the appropriate fund managment systems.
  • Provide administrative assistance and support in routine services and activities within the unit
  • Support the maintenance of office files, documents, and records in accordance with established systems and processes so that information is current and readily available for staff.

TERMS AND CONDITIONS

  • Interns receive a monthly stipend from WFP of US$ 575 per month.
  • WFP is not responsible for living expenses, arrangements for accommodation, necessary visas and related costs.
  • WFP will recognize candidates’ educational credentials from recognised institutions that have been certified by competent international or national authorities such as the United Nations Educational, Scientific and Cultural Organization (UNESCO) or Ministries of Education;
