ABOUT INTERSOS:
INTERSOS is an Italian humanitarian organization that works all over the world bringing assistance to people in danger, including victims of natural disasters and armed conflicts. We intervene to effectively meet the needs of people in crisis, with particular attention to vulnerable groups, women and children. We provide primary assistance in terms of food, shelter, medical assistance and basic goods, while also ensuring that basic needs, education, safe water and health needs are met during the recovery phase.
Since 2012, INTERSOS has had operations in the Middle East to contribute towards ensuring emergency relief and social protection assistance for Syrian refugees fleeing their home in search of safety, with special focus on most vulnerable groups (children, women, elderly and persons with special needs).
In Jordan, INTERSOS has focused its humanitarian response on supporting Syrian families displaced across urban and rural areas, as well as vulnerable host communities, with a programme that concentrates on protection and protection mainstreaming within the different sectors of intervention that compose the Country Strategy
OBJECTIVE OF THE POSITION:
The Human Resources Assistant is expected to support INTERSOS Mission in Jordan in the daily HR operational and administrative matters, in following up the recruitment processes, and in guarantying full adherence of INTERSOS HR management to Jordanian applicable rules and regulations.
S/he ensures full respect and adherence to National legislation, as well as fulfilment of INTERSOS legal commitments towards employees and national governing bodies.
MAIN RESPONSIBILITIES:
Recruitment:
- Advertise vacancies, short list candidates and guarantee proper schedule and organization of the recruitment process; upon request, and under the supervision of the direct supervisor, S/he will support INTERSOS appointed staff in, testing, interviewing and selecting applicants by ensuring appropriate matches between the selected candidate and the job requirements;
- Handle the recruitment process in order to ensure both Internal and External recruitment for the organization are being followed, specifically:
- Internal recruitment so as getting the candidate within the organization to fulfil a vacancy;
- External recruitment in order to hire new candidates.
- Conduct reference checks and prepare Job Offer and contracts in collaboration with the Finance and HR Officer for selected candidates on timely manner.
- Collaborate with relevant departments (e.g. logistics, finance) to ensure needed items are ready on time for new hires (laptop, mobile, stationary, desk. Etc.);
- Ensure new staff understand and sign the employment contract, INTERSOS policies and TOR on; upon joining
- Update the Recruitment Tracker on timely manner.
Training and Development:
- Organize induction process of newly recruited staff and carrying out briefing session on specific HR policies during the first week of the deployment;
- Support the HR Manager with training needs for the staff when needed and based on their performance appraisal.
Support the managers to ensure a regular and correct implementation of the staff performance appraisal system (mid and final IRP).
- Provide support and training, promote a friendly and professional working environment, and ensure staff development and learning environment.
Policies and Benefits:
- Focal point for the Health Insurance (additions, cancelations, contract details…etc);
- Prepare contract extensions, transfers, promotions…etc. when requested.
- Support employees when needed on HR Policies, Internal Regulations, Labour Law.
Support staff and respond to inquiries related to calculating net salary, social salary and health insurance, and the difference between net salary and basic salary;
Other HR related:
- Maintain personnel files with high confidentiality of information, easy retrieval, and up to date documents, including process, verify, and maintain documentation relating to personnel activities.
- Follow up with the line managers on the probation period of newly hired staff.
- Ensure employees database is up to date by adding new hires on the first day, removing resigned staff, updating employment status, and any other changes that might occur during the employment period.
- Ensure soft copies of all documents are saved on the shared folder for INTERSOS.
Follow up on the exit clearance process of departing employees such as exit interviews, documents to be signed and belongings to be handed to relevant department (badge, insurance, logistics items, etc.).
Issue employees’ work certificates upon request.
Accountability:
- Maintain high confidentiality of information, up to date documents, including processes and verification.
POSITION REQUIREMENTS
Education
- Bachelor's degree Human Resources Management or Administration or any other relevant field.
Professional experience
- Minimum 3 years’ experience in human resources management and administration preferably in an NGO.
Professional requirements
- Proficient knowledge of human resources’ management;
- Good understanding of HR services and Labor Law.
- Good understanding of the humanitarian context
- Interviewing skills.
- Effective written communications skills
- Proficiency with Microsoft Office (Word, Excel, and PowerPoint).
Languages
- Arabic Language
- English Language is mandatory
