Title: Team Secretary/Admin

Duration: 6 months- Temporary job

Location: Dubai – Media City

Working hours and days: Monday to Friday from 08:30 to 05:30 (1 hour lunch break)

Candidate should be on their own sponsorship Visa (mother, father, husband)!

Should have excellent skills in MS office– (Any industry experience but should have worked for 2 to 3 years as admin/secretary)

Scope

Based in our Dubai Office, we are looking to recruit an Administrative Assistant/Team Secretary for the Commercial Valuation Team who will be responsible for the team’s administrative support.

Responsibilities

  • Pitch Documents – assist in drafting proposals and collating pitching material.
  • Correspondence – Coordinating all incoming and outgoing mail and corresponding with Clients) regarding valuation requests, progress, invoices and report status.
  • Diary management – Full control and maintenance of diaries, making appointments and arrangements for all meetings and inspections with clients, developers, agents, owners, tenants and colleagues.
  • Information Checking – Reviewing information and documents for every valuation case.
  • File Management – Ensuring all paper and electronic filing is carried out on a regular basis to maintain an up to date filing system.
  • Invoices and Accounts – Update fee and liaising with internal and external account departments
  • Trackers – Update job trackers and status sheets.
  • Databases – Handle computer/database (KF Database, Contacts Register / ICON and RPS).

  • Monitor team travel expenditure, monthly.
  • Raise invoices
  • Responsible for ensuring files adhere to audit regulations.

Qualifications/Education Required

3 years+ experience in a similar secretarial/Admin role

Particular Aptitudes/Skills Required

· Mature candidate with an ability to maintain confidentiality

· Ability to command authority

· Flexibility, adaptability and a co-operative attitude

· Calm under pressure

· Good English grammar and spelling

· Dedicated and loyal

· Diligent and efficient

· Well presented

· Clear speaking voice / excellent telephone manner

· Hardworking
