Job title: Admin – Maternity Coverage

Key Objectives:

  1. Provide support to the relevant stakeholders in administrative tasks, including follow-up and organizing of meetings and maintaining the agenda with relevant reminders in close collaboration with the line manager
  2. Prepare all the necessary PRFs / Payment requests for the Support Services Department.
  3. Prepare and follow up on contracts/payments in regard of the maintenance of administrative systems for the safe and efficient functioning of the office.
  4. Manage the cleaning staff and their daily working schedule
  5. Ensure smooth communication and visitor management protocols for any arrival in Jordan. This will be including the welcome package with a contact list, visitor’s/security information and/or any relevant information.
  6. Manage the daily admin requests, such as hotel booking, catering, ticketing, transportation, Petty cash and daily expenses and purchases.
  7. Follow up on maintenance requirements for the office.
  8. Ensure smooth communication and liaise with the travel agent for all staff international travel when administrative support is needed.
  9. Ensure hotel bookings as per LTA in an adequate and timely manner. Also, communicate with users of booking reservations.
  10. Manage real estate agent/property owners (and in collaboration with the supply chain unit), ensure the offices and team houses are in compliance with health and safety standards, secure, operational as appropriate, and functioning smoothly.
  11. Prepare monthly stock update reports for Admin. Department

Job Requirements:

Bachelor’s degree in administrative studies or any related field

Excellent English (writing and speaking)

1 – 2 years relevant experience in the same field

Experience in NGOs is preferable
