Job Purpose:
The Receptionist is primarily responsible for managing the front desk daily, performing a variety of administrative support tasks for the Organization and handling smooth operation of the office.
Key Responsibilities:
- Greet and welcome visitors of the office and extend hospitality & provide right guidance by coordinating with relevant staff.
- Answering phone calls in a professional manner and routing calls as necessary by forwarding, screening, taking messages, conveying messages, etc.
- Create and regularly update both internal and external contact list.
- Ensure entire office & premise area is neat, tidy & presentable with all necessary stationaries and materials.
- Receive, sort and distribute mails/ deliveries and maintain the logbook records.
- Maintain office security by following safety procedures & controlling access to office (arranging JAFZA gate pass for visitors/customers/clients, maintaining visitor log book, etc.)
- Order office supplies, stationery and keep inventory of stock.
- Keep updated records of office expenses & costs.
- Update calendars and track the meeting schedules/ meeting rooms.
- Monitor & ensure meeting room protocols are being followed by the staff and ensure meeting rooms are well organized prior to the scheduled meeting.
- Coordinating with Maintenance Team for Facilities related services/complaints.
- Arranging courier [doc/non-doc (Invoice)], filing AWB’s, courier logbook and distributing courier to the concerned person.
- Raising LPO: Stationery, Maintenance and contracts.
- Receive and check invoices (of logistics/suppliers) and forward the same to Finance Department.
- Coordinate with travel agent for issuance of annual leave tickets and business trip tickets, hotel accommodation & visa issuance.
- Review driver schedules & coordinate with drivers to meet various business needs.
- Maintaining the Vehicle Logbook, service records & Vehicle renewal Salik top up and expenses.
- Supervise the Office Boys and their daily/weekly cleaning tasks.
- Perform any other support tasks related to office / front office management as and when assigned.

Minimum Qualifications / Experience / Technical Skills Required:
- Bachelor’s Degree in any discipline
- 2 to 3 years’ experience in handling front office or reception desk.
- Proficiency in handling MS office packages with good computer skills.
- Should have a pleasant personality, good communication skills and excellent customer service skills.
