We are looking for a reliable Team & Office Admin. The candidate should show flexibility with a 'can-do' attitude. They will undertake administrative tasks, bookkeeping, and ensure the rest of the staff is performing assigned tasks as agreed in regular meetings.

The ideal candidate will be competent in prioritizing and working with little supervision, be self- motivated and trustworthy. The candidate is responsible to ensure smooth running of our company's offices and contributes in driving sustainable growth.

  • Drive initiatives of the business to support growth.
  • Support accounts department with payment follow up and invoice go-ahead.
  • Handle document control tasks for current and future projects (Engineering).
  • Support accurate, timely, and relevant recording, reporting, and analysis of financial information.
  • Identify and support areas for improvement to internal processes.
  • Handle sensitive information in a confidential manner.
  • Maintain diary, arrange meetings, appointments, and provide reminders.
  • Coordinate office activities and operations to ensure efficiency and compliance against company policies.
  • Manage phone calls and correspondence (e-mail, letters, packages etc.).
  • Create and update records and databases with personnel, financial, and other information.
  • Assist in creation of MS Office documents (Word, Excel, Power Point, etc.) as necessary to support the technical teams.
  • Track stocks of office supplies and place orders when necessary.
  • Submit timely reports and prepare presentations/proposals as assigned.
  • Assist colleagues whenever necessary.
  • Format documents and maintain/update company templates.
  • Managing office expenditure and budget.
  • Supervising of assigned personnel.
  • Managing admin and reception.

  • Multi-tasking and time-management skills, with the ability to prioritize tasks.
  • Superb written and verbal communication skills.
  • Strong supervisory and leadership skills.
  • Comfortable handling confidential information.
  • Proficient in a variety of computer software applications including Microsoft Office Suite (Word, Excel, Outlook, and Access).
  • Engineering / construction document control experience.
