We are seeking an experienced, pleasant and highly organized Office Administrator to oversee the daily administrative operations of our holistic wellness center. The successful candidate will be an important member of our team, who believes in the mission and culture of the center, has a collaborative and supportive energy for the team to succeed, can address the day-to-day issues to ensure the smooth and efficient running of our office, handling confidential files, perform a receptionist’s role, and provide overall excellent customer service to our team and clients.

Key Responsibilities:

• Answer incoming calls and greet visitors and clients in a friendly, professional manner that respects their confidentiality and the confidentiality of others.

• Respond to customer inquiries (via email, phone call and on-site) and resolve issues in a timely, kind and respectful manner.

• Manage appointment scheduling, booking, reminding, rescheduling and canceling

• Coordinate with the team regarding their services delivery schedule

• Complete the invoicing, payment collection and insurance reimbursement needs of clients for services rendered

• Assist with basic bookkeeping and financial record-keeping tasks.

• Manage HR and Company matters including and not limited to, preparing and maintaining team HR files, preparing and maintaining company files, keeping track of expiration dates and renewals, preparing and maintaining insurance needs, and so forth.

• Manage and maintain third-party service agreements such as maintenance contracts, cleaning contracts, accounting contracts, and so forth.

• Manage and coordinate the day-to-day operations of the office, including scheduling meetings, events and appointments, managing calendars, and ensuring office supplies are stocked.

• Maintain accurate and up-to-date records and files, both electronically and in hard copy format.

• Coordinate with the director to ensure seamless communication and collaboration with team members, clients, collaborators and future partners.

• Process and distribute incoming and outgoing mail and packages.

• Inform the director in a timely manner of important regulatory issues that need to be addressed.

• Stay up – to – date on Dubai and UAE regulatory requirements, circulars, etc. that are relevant to the center.

• Maintain office equipment in good shape and arrange for repairs and maintenance as needed.

• Other duties as assigned by management.

المهارات

Requirements:

• Proven experience as an office administrator or in a similar administrative role in healthcare and wellness centers.

• Experience with Dubai Health Authority (DHA), Ministry of Human Resources (MOHRE) and other regulatory requirements relevant to healthcare and wellness centers.

• Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.

• Clear, precise and friendly communication and interpersonal skills, with a warm and professional demeanor.

• Proficient in Microsoft Office Suite and other relevant software applications.

• Strong attention to detail and accuracy.

• Ability to work independently with minimal supervision.
