ORGANIZATIONAL CONTEXT

This job is found under WFP Yemen Country Offices based in Aden, Yemen, and generally reports to the Head of the Admin, Aden or designate.

BACKGROUND AND PURPOSE OF THE ASSIGNMENT:

Job holder operates with a high degree of independence, manages more junior staff to ensure that administrative objectives are achieved in full. The incumbent will be heavily involved in day–to-day activities and analytical work. Position will be based in Aden with frequent and scheduled travels to the field locations (WFP managed hubs and other locations with WFP presence in the south) for oversight, support, and on-job training on Administration processes. The incumbent will also contribute to daily planning and delivery of quality, customer-focused, value for money administrative services that will enable staff in field offices and Aden operations to deliver food assistance to the beneficiaries, in line with WFP’s strategy. The job holder will be reporting directly to the Head of Administration Team in Aden.

KEY ACCOUNTABILITIES (not all-inclusive)

  1. Frequent travel to the field offices for overseeing the implementation of administrative processes, aligned with Country Office strategies and policies and facilitate efficient and effective administration service delivery.
  2. Carry out complex data analysis for assets, accommodation and office facilities to provide accurate information and reports for efficient planning and decision-making.
  3. Manage the existing resources in the area of responsibility (e.g. WFP managed facilities, assets and travel management, etc.) and estimate new requirements aiming at efficiency, cost-effectiveness and timeliness of operations and services.
  4. Facilitate compliance of the services provided in the WFP managed facilities with the corporate Occupational Safety and Health Policy and contribute to the provision of recommendations to the management on improvements/changes.
  5. Provide guidance and act as point of referral for junior staff in the team(s) and support them with complex analysis and queries.
  6. Facilitate capacity building of junior team members through on-job trainings, workshops, daily interaction, etc., for efficient and effective delivery of administrative services.
  7. Perform any other task, as/when required.

STANDARD MINIMUM QUALIFICATIONS

Education:

University degree in Business/Public Administration, Engineering, or other relevant fields relating to office management and administration.

Experience:

At least five years of working experience in the field of administration in similar roles.

Language:

International Professional: Fluency (level C) in English language. Intermediate knowledge (level B) of a second official UN language: Arabic, Chinese, French, Russian, Spanish, and/or WFP’s working language, Portuguese.
National Professional: Fluency (level C) in English language and the duty station’s language, if different.

TERMS AND CONDITIONS

  • This position is required for 1 year with a possibility of extension up to 4 years subject to the operational needs and availability of funding in Yemen Country Office.
  • A limited Fixed-Term Appointment (LFT) position is a non-mobile staff appointment in the international professional category for a limited period, to a max of 4 years.
  • WFP offers an attractive compensation and benefits package in line with ICSC standards (https://icsc.un.org) including basic salary, post adjustment, relocation entitlement, visa, travel and shipment allowances, 30 days’ annual leave, home leave, an education grant for dependent children, a pension plan, and medical insurance.
  • The position is based in Sana'a, Yemen and the selected candidate will be expected to relocate
